SUMMARY:

The Administrative Employment Coordinator (U1131) supports the recruiting and talent acquisition process by ensuring university community training and monitoring compliance with university hiring process requirements, adherence to state and federal requirements, and coordinates successful use of the talent management system regarding user access, posting approvals and applicant submissions for adjunct and faculty appointments for the University. This position is responsible for managing and maintaining the official faculty files for the university in accordance with university and SACS guidelines. This position will be an advocate and active practitioner of the Office of Human Resources Mission Statement, Values, and Commitments.

DUTIES & RESPONSIBILITIES:

  • Create instruction manuals and conduct campus wide talent management system training.
  • Assists departments with the hiring process from beginning to finalization. Creates users, groups, and manages access to talent management system to support search needs. Assists with, reviews and approves matrix, reference, and interview questions to ensure compliance.
  • Reviews posting requests and verify approvals before posting.
  • Advertises for posted positions to ensure recruitment success, while making sure international criteria is covered for faculty searches.
  • Monitors position status.
  • Manages faculty and administrative personnel records to ensure that all files are complete and updated as required by university policies. This includes working with new appointees to acquire official documents, handling sensitive documents, distribution of forms/documents to appropriate offices, and working with departments to resolve outstanding issues and accuracy.
  • Evaluates original transcripts and certificates (including degree verifications with outside agencies) to ensure potential new adjunct faculty qualify to teach courses in compliance with SACS criteria.
  • Represents HR Department while conducting training of search committees and/or Hiring Supervisors.
  • Maintains extensive database and files related to information regarding individual faculty searches and results for use in reports and metrics analysis.
  • Completes background and degree verifications for candidates. Creates personnel files and uploads documentation into electronic filing system.
  • Supports diversity recruiting and other HR initiatives.
  • Participates in the planning and execution of administrative operations and performs special analyses and project summaries.
  • Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor.
  • Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures, services, or programs.
  • Applies and interprets, and/or assists in implementing management policies or operating practices. Develops administrative and technical procedures. Researches, interprets, complies, and responds to inquiries about rules, regulations, policies and procedures. May monitor compliance with policies and procedures.

MINIMUM REQUIREMENTS:

  • Education: Bachelor’s degree in applicable field or equivalent combination of education and experience (High school diploma or GED with a minimum of four (4) years of related experience).
  • Experience / Knowledge / Skills: Two (2) years of related experience. Knowledge of word processing and spreadsheet applications. Knowledge of HR concepts, principles, and practices in relation to recruitment and employment. Excellent organization, prioritization and self-motivation skills. Must demonstrate excellent customer service and respect for confidentiality. Excellent written and verbal communication skills.
  • Ability to: Ability to multitask and work cooperatively with others. Ability to adapt to changing assignments and multiple priorities.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

Degree Preferred. Society For Human Resource Management (SHRM) Certification and/or Human Resources Certification Institute (HRCI) Certification. Prior experience working in Higher Education. Prior experience using a talent management and/or applicant tracking system. Prior experience using Workday.

SUPERVISION OF OTHERS:

May supervise student workers and graduate assistants.
