Description:

Reporting to the Dean of the School of Education, the Administrative Assistant III provides
administrative management and coordination for the office. This individual is responsible for
performing a variety of high level administrative duties and managing daily operations for the Dean.
This position frequently handles sensitive and/or highly confidential materials. The ideal candidate is
someone who has a strong sense of responsibility; a solid ability to anticipate and prioritize; a
demonstrated ability to work cooperatively as a member of a team, and is a vital member of the team
responding to internal and external demands appropriately.

ESSENTIAL FUNCTIONS

  • Place, answer, screen and direct telephone calls, providing information or referral as required
  • Provide administrative support and assistance, including making appointments, scheduling meetings, maintaining calendars and email
  • General office management and front office coverage
  • This position frequently handles sensitive and/or highly confidential materials; must organize, prioritize and triage issues
  • Proactive in anticipation of potential items that might need resolution; responding to internal and external administrative support items on behalf of the office
  • Prepare correspondence, presentations, charts and coordinate various activities or events involving several different constituencies for staff members. This includes handling confidential information.
  • Manage division budget and budget-related transactions
  • Purchase card management / reconciliation
  • Attend committee meetings and record meeting notes/action items
  • Maintain and order office supplies following material management process and procedure
  • Assist with travel related arrangements, including prior approvals, registration, airline reservations, car rentals, hotel reservations, etc
  • Assist with preparing travel and expense reports for reimbursement
  • Provide supervision of part-time, temporary staff and student staff within the School.
  • Perform other duties as assigned

Minimum and Preferred Qualifications:

MINIMUM QUALIFICATIONS

  • High School or GED
  • Three years relevant work experience

Physical Requirements

Position may require local travel. Ability to lift and carry files and materials. Ability to move from one office to another office on campus. Adequate vision, hearing and manual dexterity to interact with people in person, on the phone and in writing. Applicant must be able to perform the essential functions of the job, with or without reasonable accommodations.
