Administrative Support Assistant IJob Description:
The UF/IFAS Extension Family Nutrition Program (FNP) is a grant funded program by USDA Supplemental Nutrition Assistance Program Education (SNAP-Ed). FNP helps limited-resource families in Florida access more nutritious food choices on a budget and adopt healthier eating and physical activity habits to reduce the risk of obesity and chronic disease.
The job description below is standard for the position, but in light of COVID-19, all FNP staff are working from home with modified job duties.
Office Assistants provide programmatic support functions for FNP in Lee and Charlotte counties. Duties include:
- Programmatic Support: Make copies, files, and other routine paperwork necessary to support the program. Assist with program preparation, including food shopping, food preparation, preparing lesson materials, and creating displays for public health events. Order supplies and materials as needed.
- Fiscal Operations: Understand policies and procedures related to time worked, leave, travel, and purchasing. Assist FNP Program Manager with review of fiscal and personnel paperwork for accuracy and completeness, including timesheets, travel reimbursement, receipts, and work logs. Prepare and send paperwork to state office. Keep appropriate files of all fiscal and programmatic paperwork.
- Programmatic Reporting: Assist FNP Program Manager with compilation of reports.
- Communications: Answer telephones, compose letters and emails, assist with planning meetings and monitoring calendars for FNP employees in the program area.
Normal Work Schedule: 20 Hours per week during the hours of 8 to 5, Monday through Friday. Limited weekend or overnight travel may occur.

High school diploma or equivalent and one year of relevant experience.Preferred Qualifications:
Ability to work independently and exercise judgment is necessary. Excellent written and oral communications skills. Intermediate to advanced proficiency and fluency in the Microsoft software series (Excel, Word, PPoint, Outlook). Ability to use equipment/hardware: desktop pc, laptop, copier/scanner/fax.
