Position Summary:

Applies professional human resources, organization policies and procedures to provide guidance to supervisors and managers to resolve a variety of human resources issues of moderate scope and complexity. Responsible for departmental academic and staff personnel administration, and assist with the non-senate annual review process and the recruitment, selection, and appointment of non-Senate personnel (professional researchers, postgraduate researchers, specialists, etc.). Advises Chair and Department Administrator in administrative matters including confidential departmental issues. Provide administrative analysis in all matters related to non-senate academic personnel management. Responsible for all issues relating to non-citizen immigration procedures and applications for temporary visas, H-1B and permanent resident visas. Interpret policy and develop/implement procedures to ensure compliance and support effective operations. Serves as department personnel services advisor on all matters pertaining to payroll and personnel issues. Serves as primary department contact and expert in UCPath transactions and is responsible for developing efficient business practices around supporting documents, entries, tracking, and transactions. Effectively works with Dean's Office, Academic Personnel, International Center, Human Resources, and Payroll Office for resolution of a variety of complex personnel issues. Maintain statistical data and files.

Dept of Physics & Astronomy is one of the largest academic departments in the School of Physical Sciences at UCI and our staff are responsible for administrative duties associated with a population of 290 people. This includes our largest faculty population of 53 faculty, 76 non-senate academics, 15 career staff and 146 graduate students. Physics lies at the forefront of our understanding of nature. It includes the study of the universe on the largest scales - astronomy and cosmology, and on the smallest - the physics of quarks and leptons. In addition, physics provides the background for high technology; lasers, nuclear power, semiconductors, and medical imaging all have their roots in physics. At the UCI Department of Physics & Astronomy, world-renowned physicists study exciting topics like quantum mechanics, gravitation, the big bang, black holes, magnetism, and superconductivity.

Compensation Range:

$4,133.33 - $5,216,66

Required:

Analytical skills to conduct analysis and develop recommendations; demonstrates organizational skills and problem-solving skills. Has working knowledge of other areas of HR and Academic Personnel. Proficient in communicating clearly and effectively verbally and in writing and in integrating information in the completion of assignments. Demonstrated ability to handle difficult or volatile situations / individuals effectively.
  • Experience in one or more areas of Human Resources, Academic Personnel, UC Path, UCI's time reporting system, and international scholar onboarding and employment is preferred. Bachelor's degree in related area and/or equivalent experience/training.

    Preferred:

    Knowledge of organizational policies and procedures and knowledge of functional areas, including but not limited to Human Resources, Academic Personnel, Timekeeping, International Scholar employment. Basic knowledge of human resources and Academic Personnel policies and programs, and how they affect other organizational policies and procedures. Knowledge of UCPath system, Time Reporting System, Service Now ticketing system, and other business software programs used at UCI.
