Job Details

The Art & Design Department of Trinity Christian College seeks a part time department coordinator. This person serves in a variety of roles, including but not limited to: managing budgets, coordinating student workers, planning events, coordinating facilities, and acting as liaison between students, faculty, and other departments on campus. The position begins at 10-15 hours per week and will expand in the spring 2021 to 20-25 hours per week if and when the circumstances surrounding COVID-19 allow.

The essential duties and responsibilities of this position include but are not limited to the following:

Financial Responsibilities

      • Achieve financial objectives by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; initiate expense vouchers for vendor/personnel payment; maintain internal excel record-keeping for monthly budgeting purposes
      • Complete monthly credit card transaction history for business department
      • Purchase supplies by identifying needs for faculty, studio spaces and gallery     

 

Manage Work-Study Staff 

      • Hire and manage administrative staff by recruiting, selecting, orienting, scheduling and training work study employees; establish policies, procedures, and work schedules for employees; maintain safe and secure work environment; develop personal growth opportunities for work study candidates
      • Accomplish work-study results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures
      • Follow up with students to assure clear lines of communication and achievement of goals     
Departmental Event Planning 

      • Maintains the departmental calendar in order to initiate regularly occurring annual, semesterly and monthly events
      • Manage departmental events and gallery receptions by organizing and coordinating publicity information and meeting deadlines
      • Plan, arrange, and implement necessary event details                                                                                                 i.e. department meeting, internship meeting, safety training, SARS, interim information meetings, Art Club and Student Design Organization
      • Coordinate the needs of gallery and special events in the ArCC with necessary campus departments; initiate visiting artist business correspondence as necessary     
Facility Coordination 

      • Manage the maintenance and custodial needs of the ArCC in cooperation with Physical Plant staff
      • Secure necessary quotes for contractors and vendors on an as-needed basis.
      • Coordinate the regular painting needs of the Seerveld Gallery and other exhibition spaces in the ArCC
      • Direct the maintenance and repair of color printer and copier equipment
      • Coordinate the on-going functionality of the Print/Photo Studios though staffing of student workers, technology maintenance and meeting supply needs     
Recruitment 

      • Act as liaison between the Art Department and Admissions
      • Secure the advertising/publicity necessary for the annual high school visit day
      • Coordinate with the admissions department the housing and related art activities for the annual high school recruitment event ~ Art Visit Days     
Miscellaneous 

      • Maintain cordial relationships with departments and staff across campus
      • Improve program and service quality by devising new applications; updating procedures; evaluating results; update and maintain the department “list serve” on a semester basis in order to achieve clear communication to the growing art department
      • Secure transportation for off campus departmental events; get student workers properly trained as authorized vehicle drivers; initiate payment of drivers
      • Recruit and hire figure models for figure drawing course; schedule models in a coordinated effort with instructor
      • Meet specific faculty needs on an as needed basis

Skills and qualifications include tracking budget expenses, staffing, quality management, organization, coaching, communication processes, disciplining employees, motivating others and reporting skills.
