Educational and Experience Requirement
Associates Degree in related field. Two years relevant administrative assistant experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position
Helps the Program Manager run the daily operations of the Contact Tracing Program at Sam Houston State University (SHSU). The Contact Tracing Program consists of teams of contact tracers from across the state that are working under the direction of SHSU in collaboration with the Texas Department of State Health Services to provide contact tracing to individuals infected with or exposed to the Coronavirus.

Primary Responsibilities
Performs administrative assistant duties. Provides departmental or university information to students, departments and staff. Schedules appointments and activities. Interprets policies and procedures. Compiles, tracks and reviews data and reports. Attends meetings and takes notes. Prepares, reviews, revises and distributes documents and correspondence. Orders and maintains supply inventory. Handles P-Card purchases and monitors expenses. Works with a diverse array of individuals participating in the Contact Tracing program and must be flexible, friendly, cooperative, professional and possess the innate desire to provide individuals from diverse backgrounds with administrative support. Maintains detailed records of departmental operations. Works in conjunction with SHSU’s Human Resources and Payroll offices to complete hiring paperwork (including EPAF initiation) and timesheet approvals. Acts as a point of contact in case of problems, and will provide administrative support for localized training for new hires (locates and reserves spaces, provides access to equipment for virtual training sessions, etc.). Performs other related duties as assigned.

Other Specifications
Requires a general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software. Must be able to apply policies and procedures and solve routine problems of a repetitive nature. Must have strong organizational skills, be detailed oriented, and have basic accounting skills. Must have the ability to learn computer programs needed to perform administrative tasks. This is a temporary, full-time, benefits eligible position expected to end on or before 8/31/2021. This is a grant funded position. Continuation of the position is contingent upon continued funding.
