DescriptionThis position exists to provide administrative, financial, and human resources (HR) support to the Office of Equity, Diversity & Inclusion (EDI), the Excel Centers, and the Global Intercultural Research Center (GLINT). This position also contributes to the development and support of a range of program initiatives related to equity, diversity and inclusion. This position coordinates procurement, tracks daily expenses and receipts, prepares reports, and works closely with a variety of departments to execute financial maintenance related to transactions and activities. It also provides human resources support in the form of hiring, payroll, and student employment activities. Additionally, this position supports the EDI Office with scheduling, logistics, and all other clerical duties.Job Duties:

- Acts as a liaison for the Department of Equity, Diversity & Inclusion. Responds to requests for information made by phone, email, or in person.
- Provides primary support to the Associate Vice Chancellor of Equity, Diversity & Inclusion and the department in whole such as clerical duties, logistics and note taking at department meetings. Manages departmental Microsoft Outlook calendars. Determines urgency of incoming requests and coordinates timely completion.
- Organizes and maintains information needed and used by the Associate Vice Chancellor of Equity, Diversity & Inclusion. Processes and allocates departmental procurement card expenses monthly.
- Processes and maintains a file of official function paperwork. Performs monthly financial reconciliation for all areas of responsibility (EDI, Excel Centers, GLINT). Compares current annual budgets with year-to-date expenditures and calculates an estimate of year-end office operating expenditure levels.
- Monitors and adjusts numerous accounts to remain within overall budget limitations and to prevent deficit.
- Utilizes PeopleSoft Finance, CU Marketplace, and CONCUR to complete the following: pay invoices; research and resolve billing problems; prepare POs, SPOs, and expense vouchers; make travel arrangements; and prepare cash receipts.
- Arranges travel and conference registration for Associate Vice Chancellor of Equity, Diversity & Inclusion and GLINT director.
- Processes all personnel forms related to hiring, maintenance and termination of Department professional and student staff for all areas of responsibility.
- Organizes and develops scholarship programs in the Office of Equity, Diversity & Inclusion.
- Participating member of the Equity, Diversity & Inclusion steering committee.
- Contributes to the research, development, review and implementation of programs and initiatives related to equity, diversity and inclusion.
- Orders office supplies, furniture and computer/laptops for departments.
- Provides staff assistance and coordination for all EDI programming, events, and initiatives.
- Supports GLINT with a variety of tasks including, but not limited to, budget updates, purchasing of supplies, hiring of student assistants, processing of pay and honoraria, and processing of seed grant awards.

- The potential dates for interviews with the supervisor and appointing authority will be the week of October 12, 2020.

QualificationsMinimum Requirements:
- Bachelor's degree PLUS two(2) or more years progressively responsible, full-time work experience
- Associates degree PLUS four (4) or more years progressively responsible, full-time work experience.
- Two (2) or more years demonstrated experience and proficiency with multiple software systems (e.g., finance systems, HR systems, compliance or research systems; Microsoft Office Suite).
- Three (3) or more years of experience in event planning.
- Two (2) or more years of experience working at an institution of higher education.
- Two (2)or more years of experience working with PeopleSoft, Concur, HCM and CU Marketplace.
