Job Description
  • Performs varied advanced administrative work unique to the University Writing Program (UWP), including coordination of the Graduate Assistants in the English Composition Program. Oversees the graduate student application process. Works independently, keeps official records, recommends administrative policies, handles problems and non-routine situations by determining the approach or action to take and interpreting guidelines, procedures, policies and practices under the supervision of the Director of the University Writing Program.
  • Handles problems and non-routine situations by determining the approach or action to take to interpret guidelines, procedures, policies and practices for English department courses ENG 105, ENG 107, and ENG 205 and on behalf of the Director of University Writing Program according to NAU policy for staff, students, and visitors.
  • Implements new procedures and policies impacted by decisions made by the Director of University Writing Program or the Chair of the English Department.
  • Maintains automated files for ENG 105, ENG 107, and ENG 205 courses and all admitted or denied English Graduate Assistants.
  • Supervises and maintains UWP office. Maintains all office records, paperwork, forms, and equipment in an organized fashion. Hires and supervises student workers to assist with UWP office, schedule computer labs, and serve as computer lab assistant.
  • Shares Building Manager responsibilities with the English Administrative Assistant and History Administrative Associate.
  • Takes action on behalf of the Director of UWP and organizes and reports composition placement testing and M.A. Comprehensive Exams to proper personnel and students.
  • Serves as a liaison for the Graduate College to the Registrar’s office and to faculty, staff, students, parents, public and outside agencies concerning the GA application process and is responsible for communicating deficiencies, requirements, timelines, waivers and graduate assistant information.
  • Arranges meetings, conferences and appointments; arranges necessary travel reservations and itineraries; anticipates and prepares background materials needed and communicates arrangements to appropriate individuals.
  • Maintains graduate applicant information, researches, summarizes and analyzes information, calculates statistics and compiles data to prepare special and recurring reports containing specialized or sensitive information for Graduate Coordinator and other area coordinators.
  • Provides support to the Graduate Assistants in the English Composition Program by scheduling teaching times, rooms, sections and computer lab times for each Graduate Teaching Assistant each semester and orienting them to policies, procedures and practices regarding copier, office use, FERPA, rosters, submitting grades and participates in training during orientations.
  • Opens and reviews mail, screens phone calls and visitors, directing to appropriate staff or department when necessary. Composes and generates correspondence responding to inquiries on own initiative on general and specific matters in accordance with established guidelines on behalf of the English department office and forwards information timely to appropriate staff regarding course specifics or other inquiries.
  • Other duties as assigned by the Director of UWP or Chair of English.

Minimum Qualifications
  • Four years of increasingly responsible office/administrative experience; OR,
  • Any equivalent combination of experience, training, and/or education.

Preferred Qualifications
  • Experience with Windows, Outlook, Word, Excel, Access, PeopleSoft, Advantage, LOUIE.
  • Previous work in institutions of higher education.

Knowledge, Skills, & Abilities
  • Knowledge of basic accounting/budgeting procedures
  • Knowledge of standard office policies and procedures.
  • Skill in developing and maintaining good working relationships.
  • Skill in English composition, grammar, spelling and punctuation.
  • Skill in the use of personal computers/software
  • Ability to problem solve and make decisions.
  • Ability to effectively communicate.
  • The ability to work effectively with people from a variety of culturally diverse backgrounds.

Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check.

Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.

Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus and NAU-Fort Defiance as these campuses have on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.

Salary

The budgeted salary amount is $33,000.

**The starting salary will be determined by the qualifications of the selected applicant balanced with departmental budget availability, internal salary equity considerations, and available market information.


FLSA Status

This position is non-exempt under the Fair Labor Standards Act (FLSA). The incumbent is eligible for overtime pay or compensatory time according to University policy. Further, the employee must submit timesheets that accurately reflect all hours worked.
