Position Highlights:

The James E. Rogers College of Law at the University of Arizona is seeking to hire an Administrative Assistant for the Indigenous Peoples Law and Policy (IPLP) Program. This position is grant funded and subject to grant renewal. The Administrative Assistant will be responsible for providing administrative and clerical support for the Associate Director of the IPLP International Human Rights Advocacy Workshop, the United Nations Special Rapporteur for the rights of indigenous peoples. This position is a combination of secretarial and administrative duties that requires the highest skill level in the secretarial field. It also requires a high degree of professionalism, organization, initiative, ability to follow instructions, maintenance of strict confidentiality and use of good judgment. Skill is required in both English language oral and written communications, and computer proficiency is essential. Spoken and written Spanish language proficiency and translation skills are essential and required. The person must be able to handle multiple projects and to work as a team member, communicating effectively with volunteers and work colleagues.

Duties & Responsibilities:

Job Duties:

  • Performs a variety of administrative and/or secretarial support activities for Associate Director such as formatting, composing and proofreading correspondence, documents and related materials, data input and analysis, event support, and evaluating and resolving problems within scope of position.
  • Summarizes and translates reports and communications into English and Spanish.
  • Prepares, edits, and creates agendas, minutes, contracts, proposals and presentation materials utilizing specialized knowledge of the area supported. Maintains and updates website.
  • Creates record-keeping processes, structures, and databases.
  • Plans and arranges conferences or meetings under general instructions from supervisor; communicates arrangements to appropriate individuals.
  • Maintains and coordinates calendar(s) for assigned staff, regularly prioritizing and arranging meetings, conferences and appointments; arranges necessary travel reservations, itineraries, authorizations, and expense and reimbursement forms; anticipates and prepares background materials needed.
  • May supervise, monitor or coordinate the activities of subordinates, students and/or volunteers when necessary.
  • Receives, directs, and responds to visitors, telephone calls, and written communication with internal and external stakeholders. Directs more complex inquiries to appropriate individuals.
  • Compiles and organizes information for inclusion in reports or presentations. Sorts, distributes, and circulates mail.
  • Provides routine posting of financial records.
  • Responds to non-routine inquiries from faculty, staff, students, alumni, public, and outside agencies utilizing knowledge of department and university policies and procedures. Composes replies to complaints or requests for information.
  • Analyzes and summarizes information; calculates data and prepares special and recurring reports.
  • Maintains and reconciles budgets for departmental or work unit accounts. Follows up on discrepancies.
  • Creates correspondence, reports or other documents from rough draft or notes; corrects grammar, spelling and punctuation errors; edits wording without changing intended message.
  • Other duties as assigned.

Knowledge, Skills, & Abilities:

  • Proficiency in a wide range of computer applications and programs.
  • Proficiency in spoken and written Spanish language and English translation skills.

Minimum Qualifications:

  • High school diploma or GED, or equivalent learning attained through experience required.
  • Minimum of 3 years relevant experience required.

Preferred Qualifications:

  • Certificate in Secretarial Science AND three years of directly related experience.
