The College of Agricultural and Environmental Sciences is one of 18 schools and colleges that make up the University of Georgia. Small, upper-level classes allow students to connect easily with professors. Students can study plants, animals, business, communication, teaching, food science and the environment. The college focuses on providing a safe food supply, clean environment and a better life for everyone. CAES has classrooms, laboratories and facilities on UGA campuses in Athens, Griffin and Tifton, Georgia.

Preferred QualificationsPosition Summary

This position provides broad administrative support to the Department of Plant Pathology (PP) and Department Head. The incumbent reports to the Business Manager and operates as an integral member of the departmental staff support team. Some of the responsibilities include: developing, assembling, and handling documents related to hiring, visa and residency issues for faculty, staff, international visitors, and students; acting as department representative for building, telephone, listerserv representative, and other services; administrative support to meet departmental goals and objectives; assisting and coordinating PP events; handles inventory and inventory management, ordering and maintenance of supplies. The incumbent routinely deals with issues of a confidential nature and will use discretion effectively and work under limited supervision.

Working knowledge of UGA and CAES policies and procedures
- Computer Skills: MS Office 365, Banner, Athena, and Argos, Phantom, and Adobe Acrobat
- Web managing skills
- Ability to work within a team
- Ability to work with diverse groups: multicultural students, faculty, staff, and external stakeholders
- Ability to understand complex information, and to define and solve problems
- Ability to manage several projects simultaneously and meet deadlines
- Strong communication and customer service skills

Administrative Support
-Receives calls; screens/sends/receives/distributes campus/postal mail & packages; oversees assignment of office space, mailboxes, and keys
-Monitor department vehicles, controls inventory and surplus, departmental contact for maintenance/repairs and serves as phone and building representative, processes work orders, plan and provide support for departmental events
-Manages and orders general office supplies
-Manages department website & listservs
-Maintain seminar schedules, send out reminders, and coordinate refreshments for seminar
-Other duties as assigned

Hiring/Position Management
-Assist with onboarding for faculty, staff, graduate research assistant, Postdoc, and temporary positions
-Position Management in UGAJobs including position requests, position postings, and hiring proposals
-Serves as liaison for visiting researchers/scholars and Office of Global Engagement: coordinates VRS procedures with faculty, requests UGA MyIds, gather and submit necessary visa sponsorship paperwork
-Develop, assemble, and handle documents and issues required for hiring, visa, and residency requirement.
-Serves as department IDM manager and Federal Work Study liaison

-Enters diagnostic sample submission forms into the database
-Communicates with county offices in case of missing or incorrect information
-Maintains Plant Disease Clinic reports
-Prepares receipts of services rendered and submits payment to the Business Manager for deposit

-Backup for loading courses in Banner and scheduling classrooms
-Addresses issues with undergraduate enrollment; provides clearance, overrides, course changes, etc.
-Collects and summarizes data from learning outcome assessment surveys
