Primary Function of Organizational Unit
The mission of University Advancement at NC State University is to facilitate communication, internally and externally, and to enhance the image of the University; to provide meaningful programs and services to alumni and friends; to seek service-support participation and ambassadorship from constituents; to build and sustain a strong volunteer leadership network; to raise money from private sources; to manage the collection of private gifts for North Carolina State University; to manage an effective alumni and development database and gift systems; and to coordinate with the General Administration in areas of government and legislative priorities in Raleigh and Washington. Simply put, University Advancement is dedicated to empowering NC State to achieve its extraordinary potential.

Advancement Services supports the operations of Alumni Relations, University Development & University Communications. The unit oversees the university’s alumni & donor database (Advance, Blackbaud and related systems), processing gifts and conducting research about potential contribution opportunities. Advancement Services also maintains financial records, conducts donor research, receipts corporate & individual private gifts following the NC State Standard Operating Procedures for Acceptance of Gifts, administers the corporate matching gifts program, updates & verifies alumni records, manages donor prospect tracking systems, plans and manages gift agreements & endowment reports.

Essential Job Duties

Position Description / Job Summary:
NC State invites applications and nominations for the Associate Vice Chancellor for Advancement Services (AVC), a position that reports to the Vice Chancellor for University Advancement, Brian Sischo, and serves as an active member of University Advancement’s senior leadership team. The AVC provides leadership for a dynamic, best-practices advancement services program that supports the alumni relations, development, and communications areas within University Advancement at NC State. These efforts are intended to broaden the engagement of the University’s stakeholders and increase gift revenue from individuals and organizations in support of the University’s priorities.

The AVC leads four essential teams – Gifts and Records Management, Donor Services, Advancement Information Systems and Prospect Development – with a goal of creating and sustaining a customer-service oriented and donor-centric operation. The AVC is responsible for all aspects of the Advance systems (CRM database), selection and management of a variety of additional software tools; gift acceptance, processing and fund compliance; gift agreement and endowment reporting; as well as prospect research, prospect management and data analysis.
The AVC builds, sustains, encourages, and supports productive relationships with and among colleagues and serves as a key partner to leadership in units and colleges across campus while utilizing data analytics to drive fundraising success, especially in the context of NC State’s current comprehensive campaign. He/she will ensure the University is perceived as a national leader in Advancement Services and an organization against which others want to benchmark.

Essential Duties and Responsibilities Include:
Serve as a key member of the University Advancement Leadership Team
Develop a vision for Advancement Services at NC State and communicates that vision to all constituents on a regular basis
Provide direction and support for Gifts and Records Management, Donor Services, Advancement Information Systems and Prospect Development; serve as a coach and mentor to all staff members
Provide broad administrative oversight and strategic leadership in the planning, implementation, improvement, and evaluation of functions and operations within Advancement Services
In close collaboration with the VC, share oversight and implementation of the university naming policies and protocols
Manage the budget and staffing infrastructure for Advancement Services that supports the successful implementation of University Advancement’s strategic plan
Oversee the planning and evaluation of the technology infrastructure necessary to promote and sustain university-wide development, marketing, and alumni relations activities
Provide leadership and direction to build a culture of customer service, achievement, professionalism, and efficiency
Maintain close working relationship with Foundations Accounting and Investments (FAI)
Manage the compliance and ethical standards of Advancement Services; meet IRS regulations of gift substantiation, FASB regulations, CASE guidelines for development accounts as well as UNC System and NC State policies and procedures
Work collaboratively with deans and senior administrators to foster broad, coordinated involvement and cooperation regarding gifts and records management, donor services, Advance systems and prospect development
Oversee administration of the corporate matching gifts program

Other Work/Responsibilities

Perform other duties as required or assigned. Attend a variety of events throughout the year. Occasional night and weekend work is required.

Minimum Education/Experience

Requires a relevant, post-Baccalaureate degree with a minimum of 10 or more years of progressive experience in institutional advancement and advancement services related responsibilities. Experience should include Advancement Information Technology, Gifts and Records Management, Donor Services and Prospect Development.

Deep understanding of and appreciation for the philanthropic process
Direct experience and understanding of information technology management, gift processing, donor services and prospect development
Superior technology skills required, including an understanding of complex data management tools: technical skill/experience with software development tools and familiarity with institutional software platforms
Ability to deliver organizational and team-based strategic planning
Understanding of effective and efficient best practices for multiple areas of advancement operations
Understanding of business and financial management principles
Leadership skills, specifically managing across complex organizations
Talent management skills for training, mentoring, and motivating staff teams
Ability to identify and analyze complex situations and recommend or implement effective courses of action in a fast-paced environment
Ability to build trust-based, respectful and effective relationships with administrators and colleagues as part of a team in a large, complex research university
Knowledge of CASE reporting standards and management guidelines for educational fundraising
Excellent written and verbal communication skills; outstanding interpersonal skills

Preferred Experience, Skills, Training/Education

Preferred Experience, Credentials, Qualifications:
Masters degree in a related field
Comprehensive campaign experience
Ten or more years of experience in higher education
An understanding of the land grant, research Tier One university environment
Familiarity with NC State University

Required License or Certification

A valid North Carolina Driver’s License is required within 60 days of the start date. Must be maintained as a condition of employment.
