Position Summary

The Business Manager in the Finance and Accounting unit within the Administrative Services Department of the University of Georgia Libraries is a professional position expected to perform assigned duties, responsibilities, and tasks with a high degree of independence and exceptional proficiency. This position is responsible to the Head of Finance and Accounting and Assistant Director of Administrative Services for assisting in managing and controlling and is responsible for coordinating accounting, budgeting, purchasing, travel, and other financial or related functions to ensure financial integrity of a the UGA Libraries. The Business Manager will also manage the Libraries’ Accounts Receivable process and will have supervisory responsibility for one full-time staff member. An employee in this position will exercise a high degree of independent judgment and initiative in carrying out operations within the scope of the policies and standards of UGA Libraries and The University of Georgia. The Finance and Accounting unit is comprised of five professional support staff and is located in the Libraries’ Administrative Offices on the 2nd Floor of the Main Library.

Knowledge, Skills, Abilities and/or Competencies

Knowledge of management principles, concepts, methods, practices, and techniques of business administration involved in matters of budgeting, personnel, purchasing, accounting, and organization.

Ability to produce and maintain complex statistical reports and records, using Microsoft software packages, such as Word and Excel.

Ability to establish and maintain effective working relationships with UGA faculty, staff and students; other UGA departments; outside vendors; and other entities.

Ability to remember, organize and consistently focus on a large amount of details and come to appropriate conclusions.

Ability to identify problems, analyze information, and implement solutions.

Proven ability in effective personnel management and supervision of employees.

Ability to efficiently multi-task, handle interruptions and meet accounting deadlines.

Strong organizational and time management skills with emphasis on accuracy and attention to detail.

Assists in the day-to-day management of state-funded, departmental sales, restricted, and foundation accounts for the UGA Libraries.
•Performs accounting functions for the Libraries’ general, grant and select restricted accounts budgets by analyzing account status and balances; reconciling status reports; maintaining records; determining corrective actions if improper charges or credits occur; and processing inter-departmental transfers.
•Prepares budget amendments; resolves budget issues; prepares statistical reports, communicates with appropriate personnel, and reviews proposed budgets with Head of the Finance and Accounting Unit; assists with the preparation of annual budget documents and process.
•Prepares monthly Georgia Sales Tax Report on designated accounts by verifying taxable and tax-exempt receipts and tax due, preparing appropriate forms, and routing reports to University General Accounting.

Purchases supplies, contracts (i.e. – service, maintenance) and equipment for Libraries departments using a Libraries’ purchasing card and via the University’s Procurement online purchasing system; generates reimbursement check requests for expenditures/purchases made by the Libraries and/or Libraries’ personnel.

Assists with the completion of travel requests and arrangements for Libraries’ personnel and for certain group travel requests; processes vehicle requests for Libraries’ personnel travel by following the appropriate policies and guidelines and by communicating actions with appropriate requesting staff.

Keeps the Head of Finance and Accounting and Assistant Director of Administrative Services and other appropriate personnel informed of departmental and University policies and procedures.

Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries’ listserv) and other communication tools, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.

Maintains flexibility and awareness of changes and needs in the office and organization by assuming similar duties and responsibilities as assigned.
