Provide primary administrative support for the director of facility services which also requires interaction with all constituencies of the Wells College campus community.  The Office Manager is expected to exercise good judgment, demonstrate quick prioritization of competing requests, work independently, be well organized, and pay close attention to detail. Ensure the department runs in an efficient and customer-service based manner in support the College’s mission and goals. 

 

 

ESSENTIAL JOB FUNCTIONS/TASKS:

  • Provide general office/administrative support: to include:  phone coverage, process incoming mail, copying, file maintenance, office schedules, greeting visitors, etc. 
  • Coordinate, prioritize and monitor all service requests bringing each to an efficient completion
  • Assist with office correspondences, general mail, and employee communications
  • Support the planning and implementation of major campus events whether initiated by on-campus faculty and staff or off-campus guestsManage all material procurement, requisitions and invoice reconciliation – tracking delivery and monitoring documentation for the departmentRecord and monitor yearly budget expenses; review invoice charges and process for payment Monitor and track various energy usages of campus buildings maintaining efficient recordsMaintain departmental files  (paper and electronic)Complete special projects as necessitated by the director of the departmentAbility to navigate the campus to perform various duties associated with this position.Perform other duties as assigned 

    MARGINAL JOB FUNCTIONS/TASKS:

  • Maintain/order office supplies

    REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

    Excellent customer service skills; excellent communication skills (written and oral); proficient in MS Word, Excel, and Outlook.  Highly organized, detail oriented and flexible.  Able to work independently, prioritize and perform multiple tasks simultaneously with accuracy and able to meet deadlines under pressure. 

     

     

    QUALIFICATION STANDARDS:   A.A.S. or two years of related experience, or appropriate combination

     

     

    HOURS OF WORK:     Full-time; 40 hours per week; some evening/weekends may be required if needed.
