Job Description:
Responsible to the Vice President for Student Development to provide a variety of administrative and leadership support including assisting with highly confidential information and engaging with internal campus contacts from all levels of the institution. Also, daily engages with a diverse student population, quickly assessing their needs quickly and demonstrating a high level of hospitality.
- Provide broad support to the vice president including, but not limited to, calendar management, appointments, presentations, team and individual personnel meetings, inventory management, data reports, some budget management and event planning.
- Share in general administrative support for the Student Development team.
- Support committee work of the Board of Trustees including collaboration with all Student Development entities.
- Schedule meetings, prepare agendas, reports, presentations, metrics, post materials to SharePoint Board portal.
- Attend committee meetings, orchestrate conference calls, and coordinate catering and room set up requests.
- Track attendance and agenda item requests in accordance with committee charter.
- Record, file and distribute minutes to appropriate board members for review.
- Track action items.
- Learn internal systems (Ellucian, Callisto, Get Inclusive, photo id, TAO, Titanium) support the work of the Vice President and Student Development. Gain knowledge necessary to generate reports and manage data.
- Maintain and manage detailed process and record keeping structure for student conduct system.
- Engage in the life of students with a spirit of hospitality and care.
- Provide moderate administrative support for additional student development areas including; TRIO Pre-college Programs, Work-Based Learning-Title IX, Parent Council, Campus Ministries and Student Senate.
- Provide reception for the vice president and dean of students. Answer phone; greet visitors; provide information and/or refer to the appropriate office or resource. Arrange for coverage when necessary.
- Be an active and contributing member of the student development division. Attend and support campus and divisional administrative meetings as requested.
- Have thorough knowledge and understanding of campus resources.
Requirements:
- Bachelor's degree or equivalent combination of experience and education.
- Proficient in Microsoft Office Professional.
- Professional communication, organizational and time management skills.
- Ability to work independently and under pressure with flexibility.
- Thorough knowledge of office practices and procedures, working knowledge of budgeting principles.
- Service oriented.
