Job Summary This position is responsible for providing administrative support for the operations of the Health & Counseling Services department.

Responsibilities

  • Provides administrative support for Health and Counseling Services office operations. (50%)
  • Frontline contact with intake processes for students seeking health and counseling services.
  • Assist with student wellbeing checks and follow up as needed.
  • Reviews and evaluates immunization/health records for all admitted students; at times enters immunization data into database.
  • Maintains and updates the department web page.
  • Prepares reports and general correspondence.
  • Enters data to software systems.
  • Operates a variety of modern office equipment.
  • Assists in conducting, compiling, and assembling surveys, reports, etc.
  • Assists in sorting and distributing incoming and outcoming mail.
  • Performs receptionist duties in support of HCS office operations. (25%)
  • Manages the electronic sign-in system for client intake.
  • Answers telephone calls and greets students and visitors; provides information and assistance; refers to appropriate personnel; distributes a variety of forms.
  • Assists in maintaining appointment schedules.
  • Supervises the work of assigned student workers and staff. (5%)
  • Supervises student workers and prepares student work schedules.
  • Supervises the approval of student worker timecards.
  • Supervises the work of the Governors of Highway Safety Grant Coordinator and approves timecards.
  • Performs HCS program development functions. (5%)
  • Researches and develops programming for workshops and groups.
  • Coordinate Governors of Highway Safety Grant
  • Collects monies and processes financial records. (10%)
  • Collects payments for fees.
  • Prepares deposits.
  • Enters funds collected into software programs.
  • Processes faculty and staff payroll deductions.
  • Reconciles receipts.
  • Performs a variety of related duties. (5%)
  • Required Qualifications
      Associate’s degree or equivalent training and experience.More than two years of related experience required.

      Knowledge of modern office practices and procedures.Knowledge of university and departmental policies and procedures.Knowledge of business English, spelling, punctuation and arithmetic.Knowledge of computers and job-related software programs.Skill in prioritizing and organizing work.Skill in the management of files and records.Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.Skill in oral and written communication.
