Director of Advancement Services

Position Summary:

Reporting to the Executive Director of Advancement Operations the Director of Advancement Services supports all the activities of the Advancement Office through the accurate maintenance and oversight of all donor and alumni records.This support also includes oversight of gift receipting and accounting, individual donor correspondence, mailing production, report generation, database management, special event support, and stewardship implementation for all departments within University Advancement and across IWU.The role will enhance and increase the effectiveness of the fund-raising efforts at Indiana Wesleyan University conducted through University Advancement.

Reporting Relationships:

Reports to the Executive Director of Advancement Operations

Education Requirements:

Bachelor’s degree

Duties and Responsibilities:

Administrative

a.Supervises Gift Accountant and Student Assistant(s).

b.Facilitates the achievement of established goals for Advancement by developing and maintaining cooperative working relationship with Financial Affairs and Institutional Technology

c.Recommends appropriate budgetary needs for the Advancement Services department and monitor those expenses throughout the year

d.Establishes and maintains professional competency in the field of University Advancement as it relates to records and research through professional reading and contacts

e.Fosters the growth of best practices in the supporting areas of gift processing, data management and donor relations

f.Develops and oversees reports to assure accurate and effective measurement of Advancement's progress

g.Manages the relationship and status of external organizations and vendors needed to maintain IWU Advancement functions as they relate to Advancement Services

2.Technology Support

a.Oversees and manages all data requests from internal and external sources

b.Develops and manages reporting needs of Advancement

c.Maintains university data integrity standards and communicates information to all Advancement staff

d.Represents Advancement on the Institutional Data Steering Committee (IDSC)

3.Donor Relations

a.Manages stewardship communication with donors

b.Participates in the creation of stewardship strategies for donors

c.Oversees the gift receipting process

4.Database Oversight

a.Ensures that the Advancement database contains information that is accurate, current, and accessible through management and oversight of all records

b.Develops new reporting methods to best measure outcomes for University Advancement

c.Provide leadership for Advancement staff utilizing the various available technologies so they can accomplish their goals

d.Develops and maintains appropriate campaign and event codes and structures

e.Develops recognition programs for annual and fiscal year acknowledgements and reporting

f.Participates in the creation of strategies to manage alumni and donor relationships with the main goal of serving our alumni and donors well

5.Event Support

a.Oversees event registrations and support to ensure event participants are well tended

b.Oversees any gift processing needs to support events

Qualifications:

    Strong working knowledge of Microsoft Office suite of products is required; Proficiency with Excel and Access is preferred; Experience with the Colleague database and iDonate is a plusAdvanced ability to prioritize tasks, schedules, and objectives with the ability to handle many details of varying nature at the same timeHighly “customer service” and detail oriented; comfort and effectiveness in translating between end user's needs and reporting output
    Ability to present themselves well through written and oral communication skills
    Maintain the highest standards of confidentiality
