Bachelor’s degree or higher and at least 2 years of payroll related experience and/or training.

Purpose of Job

The Assistant Payroll Coordinator will assist with the processing of payroll for all employees of the university while remaining in compliance with the federal and state regulations.

Scope of Responsibilities

This position will perform a wide variety of record keeping and payroll processing activities, including time reporting, processing wage and overtime payments, calculating and recording payroll deductions and cross training with the Payroll Coordinator.

Essential Job Functions

*Interprets University policy and government regulations relative to payroll procedures.
*Process timesheets for biweekly and student employees.
*Provide backup to the Payroll Coordinator by cross-training for all University payrolls, tax payments, and reports primary prepared by the Payroll Coordinator.
*Assist in analyzing all payrolls for accuracy.
*Process payroll history adjustments, manual checks, and labor redistributions as required.
*Assist in the monitoring of employee compensatory time, and payment in accordance with DOL regulations and University policy.
*Insures compliance with federal and state regulations regarding tax laws.
*Assist in the reconciliation and preparation of annual W-2 forms and related forms for both federal and state agencies.
*Assist in compiling and sending monthly reports to IHL.
*Assist in processing court ordered wage withholdings.
*Assist in remitting payroll-related expenses and withholdings to the appropriated parties for processing and disbursement.
*Assist with the preparation and filing of quarterly IRS required tax forms.
*Provide excellent customer services to University external and internal customers.
*Provide employment history and wage and hour data where appropriate to governmental agencies, financial institutions and prospective employers.
*Ensure confidentiality of all employee records and files.

OTHER DUTIES: Other related duties as assigned by the supervisor.


Bachelor’s degree or higher and at least 2 years of payroll related experience and/or training.
