Description of primary duties and responsibilities::

Primary Purpose of the Organizational Unit:

The Division of University Advancement serves to connect external parties with opportunities to partner, support and participate with Fayetteville State University and its programming. The division is responsible for all development and fundraising-related activities and the planning and organization of university relations and public affairs programs.

The division is organized to conduct the major following functions: Major gifts solicitations, annual giving and relationship management, planned giving, corporate and foundation giving, alumni relations, capital campaign planning and implementation, processing and acknowledgement, prospect research.

Primary Purpose of the Position:

Provide technical advice, training and reports as needed for all members of the Development and Alumni Affairs professional staff, as well authorized members of the university community who needs reports from the Alumni / Development System (Banner).

Duties and Responsibilities:

•Provide technical advice, training and reports as needed for all members of the Development and Alumni Affairs professional staff, as well as authorized members of the University community who need reports from the Alumni/Development System (Banner).
•Foster the growth of best practices in the supporting areas of gift processing, data management and donor relations as related to annual giving and the University as a whole. This position must have a keen appreciation for the foundation of annual giving as the enabling component of successful major and gift planning programs.
•Work closely with the Development staff to develop fundraising strategies and integrate with university-wide and alumni initiatives.
•Serve as the liaison with ITTS and Business & Finance (Banner reconciliation, feed process, and related issues).
•Utilizing information technology systems, methods, and vendors, this individual will be responsible for the planning, implementation, and coordination of an aggressive data integrity program that will focus on maintaining accurate constituency data records (particularly contact information).
•Takes lead on all augmentation / cleanup of existing data sources and ensures constituent data is fresh, current and as enhanced as possible to ensure the most effective use of all the information available.
•Participate in campus-based work groups to identify and respond to issues and make necessary changes to the applications.

Duties and Responsibilities Continued:
•Investigate and resolve Banner application functionality related issues and provide first level support and troubleshooting for Advancement staff.
•Assist in the creation of design and functional specifications for all new development projects.
•Serves as team leader for organization’s efforts to understand its constituent data by guiding analysis and segmentation efforts. Develop strategies for leveraging constituent data to advance the work of the organization.
•Develops the specifications for standard reports and files the organization needs and works with the internal and external resources to implement.
•Serves as a team member on strategic planning efforts as ‘guru’ on constituent data.
•Implements and reports on IT Security, Privacy and Confidentiality Policies and Procedures related to all aspects of work with constituent data.
•Produce customized reports as requested for development purposes.
•Coordinate and plan for future data conversions/upgrades as needed.
•Establish greater oversight and transparency for university scholarship funds.
•Increase collaboration between University Advancement, Business and Finance, and Financial Aid for scholarship management.
•Ensure that all scholarship information has been digitized and centrally located on the university network drive for team collaboration by Advancement, Business and Finance and Financial Aid.
•Serve as the auditor on the university scholarship committee to ensure scholarship awards follow donor agreements.
•Serve as a liaison between the Office of Financial Aid and University Advancement as it relates to documentation and notification of scholarship recipient information. Additionally, serving as the liaison for university programs and departments for departmental scholarship awards.
•Collaborate with Business and Finance to review University and Foundation scholarship spending rates.
•Ensure all scholarship funds are spent on an annual basis in agreement with university and Foundation policies.
•Track all gift agreements and stewardship addenda as gifts are received from donors and organizes data from a variety of sources (donor gift information, scholarship awards, financial data on endowed funds) to ensure accurate reporting to donors.
•Frequently review all existing agreements/scholarship accounts to ensure terms follow state and federal laws and coordinates with development officers to ensure new donor scholarship agreements follow state and federal laws.

Minimum Education and Experience Requirements::

Relevant BA/BS required (Business Administration, Accounting, Management etc.).
A minimum of 1 year directly related experience in fundraising/direct solicitation.
A minimum of 3 years directly related systems management experience required.

Knowledge skills and abilities::

Incumbent must be a technically-minded person who has an in-depth knowledge of PC experience MS Word, MS Excel, Lotus, and other PC applications required. Crystal Reports, Banner, PC JET, FMS, Millennium, and other computer vendor applications a plus.

The Incumbent will have an extensive knowledge of advanced computer systems and office equipment. Position requires data base management skills and word processing abilities with the majority of work performed at a computer workstation, no physical labor.

Excellent written and oral skills. Strong organization and interpersonal skills. The incumbent must employ an advanced ability to prioritized tasks, schedules and objectives. Must be highly “customer service” and detail oriented with the ability to handle many details of a varying nature at the same time. Exposure to Accounting practices in either a business or University setting is a plus, as is the ability to supervise regular employees and student workers. Also the ability to relate and communicate in a positive way to the many constituencies of the University.

This position requires comfort and effectiveness translating between end users needs and database output. Must be able to understand development and alumni officers’ needs so as to accurately translate their requests into effective queries and reports. Skill in making presentations and training individuals in software applications is highly desirable.

Strong, collaborative, energetic individual with seasoned fundraising skills.

Preferred Qualifications::

Strong preference for significant formal training in information systems applications and electronic reporting.

Fayetteville State University (FSU) is a member of the prestigious University of North Carolina System. Situated in southeastern North Carolina, FSU prides itself in being in one of the most diverse cities in the country and neighbor to one of the nation’s largest military installations – Fort Bragg.

FSU has a rich history that serves as genesis for its current status as a leading institution of higher learning. A year after the Civil War ended, the Phillips School provided primary education to Fayetteville’s black citizens, and the Sumner School provided intermediate education for this population. The two schools were consolidated in 1869 and dedicated in April of that year as the Howard School, in honor of the Freedman’s Bureau chief General O.O. Howard. Seven prominent African-American men pooled $136 to purchase two lots for the first building that housed the Howard School. Robert Harris was named the first principal of the Howard School.

In 1877, the Howard School became not just the first public normal school for African Americans in North Carolina but also the first state-sponsored institution for the education of African-American teachers in the South. It was renamed the State Colored Normal School in Fayetteville that year, Fayetteville State Teachers College in 1939, Fayetteville State College in 1963, and Fayetteville State University in 1969.

While FSU’s roots are as a teacher education institution, it now offers nearly 70 degrees at the baccalaureate, masters and doctoral levels. Many of the programs are accredited by the top agencies. The university’s School of Business and Economics is endorsed by the Association to Advance Collegiate Schools of Business (AACSB). AACSB is one of the most prestigious and rigorous accrediting bodies for business programs in higher education. Currently, less than one-third of U.S. business programs and only 15% of the world's business programs have earned AACSB accreditation. Receipt of this distinguished accreditation provides evidence that FSU’s School of Business and Economics has established itself as a leader among business schools. Additionally, the Master of Business Administration program has been cited by U.S. News and World Report and The Princeton Review as one of the best graduate business school programs in the country. The center is home to the electron microprobe, an advanced imaging tool that magnifies objects up to 300,000 times.
