This position reports to the Program Coordinator Sr. – Loan Management

Job Description

Position-specific Duties:

  • Manage Title IV Direct Loan processing.
  • Run weekly Direct Loan reports to ensure accurate reporting of Subsidized, Unsubsidized, Graduate PLUS, and Parent PLUS loans to the US Department of Education.
  • Manage the Private Loan and Certificate Programs.
  • Maintain an expert knowledge of regulations and policies that affect direct loan and private loan awarding and certificate aid processing and provide individual and group trainings as necessary.
  • Confer with the Program Coordinator, Sr. – Loan Management to advise staff, students, and others and to provide problem-solving assistance, answer questions regarding Direct Loan and Private Loan awards and policies, and refer to appropriate department personnel, if necessary.
  • Prepare periodic reports on program activities.
  • Evaluate program effectiveness to develop improved methods.

General Department Duties:

  • Certify eligibility for federal and private student and parent loans.
  • Process documents to determine aid eligibility and identify and resolve conflicting information.
  • Perform document imaging database tasks and ensure the scanning and indexing of documents, an important step in the document lifecycle, is done accurately and efficiently.
  • Provide customer service in the form of phone calls and emails with students and/or parents.
  • Evaluate information and documentation in order to makes changes to student awards, budgets, and other data elements within the NAU student administration system (PeopleSoft).
  • Maintain a working knowledge of Title IV, ABOR, and state, policies and other higher education regulations as they relate to the administration of federal, state, and institutional financial aid.
  • Research student account issues as they pertain to federal, state, and institutional aid and provide/communicate timely resolutions.
  • Process reports in a timely manner in accordance with federal, state and institutional guidelines to ensure compliance and student eligibility, and to avoid potential financial liability to the institution.
  • Utilize internal and external databases such as PeopleSoft, COD, NSLDS, ELM, etc., to ensure student eligibility for aid including but not limited to over awards and Pell Lifetime Eligibility issues.
  • Identify potential issues and trends that impact efficient and accurate processing of aid, and notify managers so that procedures can be corrected in a timely manner.
  • Confer with other processing personnel in resolving problems involving program intent, input/output requirements and other procedural and technical matters and to refer problems as necessary.
  • Review and analyze system problems to identify solutions and/or make appropriate referrals.
  • Participate in special projects and cross-training within office as directed.
  • Assist other teams within the Office of Scholarships and Financial Aid with processing, as necessary.
  • Prepare status reports as necessary.
  • May require working and/or traveling nights and weekends.
  • Other duties as assigned.

Minimum Qualifications
  • Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinative program experience; OR,
  • Six years of progressively responsible administrative coordinative program experience; OR,
  • Any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Strong team orientation.
  • Strong attention to detail.
  • Extensive customer service experience.
  • Experience working in a higher education financial aid setting.

Knowledge, Skills, & Abilities
  • Demonstrated experience working with students and individuals of diverse backgrounds.
  • Skilled in simple calculations.

  • Demonstrated ability to maintain confidentiality.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting.

Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.

Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus and NAU-Fort Defiance as these campuses have on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.

Salary

The budgeted salary amount is $38,000.

This position's pay grade is 43. The salary range for this paygrade can be found on the CLS Grade Schedule.

**The starting salary will be determined by the qualifications of the selected applicant balanced with departmental budget availability, internal salary equity considerations, and available market information.


FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU.

Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
