General Overview:

The Manager, Development Initiatives plays an important role in strengthening the fundraising program for Sylvester Comprehensive Cancer Center. The Manager, Development Initiatives will support two areas in an administrative capacity, the Director, Events (50%) and Associate Director, Communications (50%) in their responsibilities of implementing and coordinating comprehensive cultivation and stewardship programs. The percentage of time may vary according to the needs of the team and calendar of events.

Essential Responsibilities:

General
• Assists with the assignment of tasks to internal teams to include schedule management.
• Assists with budget preparation and tracks all project related expenditures for Events and Stewardship.
• Monitors project progress and addresses any issues that arise. Assists with the identification of completion shortfalls.
• Acts as the point of contact and communicates project status to relevant stakeholders. Communicates timeline changes and new information to project team.
• Creates and maintains comprehensive project documentation, plans and reports. Ensures all needed documentation is current and properly filed and stored.
• Ensures adherence to standards and requirements by reviewing project objectives against deliverables.
• Organizes, attends and participates in project meetings.
• Prepares necessary presentation materials for project meetings.
• Records minutes and takes detailed notes during meetings.
• Evaluates current procedures and recommends changes to improve the efficiency of planning and scheduling of projects.
• Ensures internal control oversight and compliance with laws and regulations, safeguarding of assets, compliance with University policies and procedures, reliability of internal and external reporting, and efficiency and effectiveness of operations. Creates an effective control environment, conducts risk assessment, implements and monitors controls.

Events
• Ensure all payments for events registrations and sponsorships are received and tracked properly in i-BIS for events.
• Ensure payments to vendors are input, approved, and processed through Workday and received in a timely manner.
• Manage and maintain inventory of Sylvester branded promotional items for department.
• Support Director, Events on site at events, as needed.

Communications
• Write timely and appropriate acknowledgement letters; update and personalize acknowledgment letters on a periodic basis.
• Support the Associate Director, Communications in the execution and tracking of customized stewardship plans.
• Manage the donor recognition signage process in coordination with development officers, facilities, and key stakeholders ensuring all requirements and needs are met.

Additional Duties:
• Participate and attend evening and/or weekend events and activities, as needed, in support of the mission of the University and Division of Development and Alumni Relations.
• Utilize i-BIS and other University systems to update constituent information in accordance with i-BIS training and policies and procedures.
• Attend meetings and appropriate training sessions for the Division of Development & Alumni Relations.

Qualifications:
Bachelor’s degree with a minimum of three years of business office experience required at a senior level, which may include one year of supervisory experience. Equivalent combination of education and experience will be considered. Must be able to work independently and successfully complete projects and resolve problems. Excellent command of the English language, both oral and written with a high level of creativity, attention to details and superior customer service skills. Proficient in Microsoft Office applications (i.e. Microsoft Word, Excel, and Access). Must have initiative mixed with good, sound judgment. Must be able to handle multiple projects simultaneously and work in a dynamic environment.
