Position Summary

As the Business Office Manager of the MSU Libraries, this position serves as a senior fiscal officer and manages the daily fiscal and administrative activities of a complex budget from various sources of funds totaling over $17.0 million, including but not limited to operating accounts, self-supporting activity, and externally-funded grants. Primary responsibilities of this position include: working closely with staff and administrators on financial matters including budgets, transaction approvals, accounting and reporting; development of administrative goals, objectives, policies and procedures; establishment of fiscal and financial standards and procedures for the unit and remaining current with University policies and procedures, including the Manual of Business Procedures; provide management and oversight of library micro-grants; preparation and distribution of timely reports to staff and administrators; provide assistance with grant proposals; direct and supervise the daily functions of the Business Office and Mailroom Operations.

The Business Office team is responsible for financial operations involving general fund, endowments and auxiliary funds. This includes but is not limited to internal and external invoicing for library services, financial reconciliation for retail operations & purchasing supplies and services. Mailroom operations include receiving and disbursing mail to multiple library units, maintaining daily courier services to branches including our off-campus remote storage facility which is critical to our circulation and inter-library loan services. The Mailroom staff are also responsible for maintaining the Supply Order System which tracks supply requests, purchases, receipt of vendor orders, documents business purpose and delivery to staff and asset management. This position would be responsible for directing staff in both areas to ensure that work is distributed & prioritized appropriately.

Unit Specific Education/Experience/Skills
  • Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a business, accounting, management or other related field.
  • Five to eight years of related and progressively more responsible or expansive work experience in office procedures and administration, or in performing responsibilities related to fiscal activities.
  • Experience in a supervisory role.
  • Experience with word processing, database, spreadsheet, presentation software and/or desktop publishing.
  • An equivalent combination of education and experience may also be considered.
Desired Qualifications
  • Effective oral and written communication skills.
  • Demonstrated ability for accuracy and thoroughness.
  • Service-oriented approach and problem-solving skills.
  • Experience working with complex budgets and sub accounts
  • Experience with web page software.
  • Understanding of and proficiency working with the EBS system, including all financial system account and transaction e-documents, as well as cost redistributions.
  • Six or more years of related and progressively more responsible or expansive work experience in university account procedures, developing account controls, policies and procedures.
  • Grant administration skills, including certification in Essentials in Research Administration.
  • Understand, support and foster integration of diversity, equity and inclusion practices.
  • Prior experience supporting and communicating with remote staff.
