Job Description:


  • Responsible for performing a wide range of complex and varied administrative/secretarial duties,
  • Provide administrative support to the Chairperson, Departmental Faculty and Classroom Assistants.
  • Type, compose and edit documents and correspondence for Chairperson and under own signature,
  • Answer and appropriately handle incoming calls and greet students and visitors.
  • Handle confidential information and materials.
  • Maintain and track department budget and inventory: Prepare, process, track and Follow-up on supply orders and equipment repairs for Department/Labs. Anticipates Department budgetary needs, makes recommendations to Chairperson as to which budget to use and prepares paperwork and enters information into the system,
  • Prepare Petty Cash forms for reimbursements for Faculty and Staff.
  • Organize, prioritize, review and maintain office records, office procedure and policy books, forms, record keeping systems, inventory and supplies.
  • Track funds in the Department's Educational Foundation Accounts. Submit forms and appropriate supportive documents to the Educational Foundation for educational supplies, membership fees, etc.
  • Maintain Faculty pedagogic information in Banner. Follow through with lists in Hyperion Brio Report Writer.
  • Responsible for scheduling substitutions and reviewing of records, to determine which faculty qualifies. Assign faculty according to the Collective Bargaining Agreement and AOP listing. Review final with Chairperson. Keep accurate records of absences and substitutions in Faculty Absence Reporting System, printing reports out at end of month for Chairperson and Dean to sign.
  • Handle Absence reporting for Faculty in Faculty Absence Reporting System,
  • Attend Department and College-wide meetings as required, take notes and prepare thorough minutes of meetings including Tenure & Promotion Meetings and Industry Advisory Board Meetings.
  • Responsible for identifying office hours for Faculty.
  • Assist with the preparations and handle all logistics and advance planning for the department events including industry Advisory Board Meetings and Breakfast, classroom guest speakers/lecturers and Department Alumni/graduating Senior dinner. Handle all
  • follow-up correspondence,
  • Maintain and update Department Alumni contact information


Requirements:


Bachelor's degree and two to four years of appropriate related experience; or high school diploma and six years of appropriate related experience. Experience and ability to work independently and take initiative. Ability to identify, evaluate and resolve technical problems and make independent decisions. Banner experience preferred. Experience maintaining and tracking numerous details for a variety of special projects occurring concurrently including follow-up.

The Fashion Institute of Technology is a State University of New York college of art and design located in New York City. In 1951, it became one of the first SUNY community colleges empowered to grant the Associate of Applied Science degree. Today, FIT also grants Bachelor’s and Master’s degrees in fashion and fashion-related fields.
