This position supports the continued development and advancement of academic scheduling functions within the VPAA. The person in this role manages critical 25Live interface setup and continuing processes that support academic scheduling, student enrollment and other downstream functions including, but not limited to, advising, grading, and institutional reporting. This position plays a key role in monitoring and managing class data, including data integrity. This position requires regular interaction with university faculty, staff, and administrators across NAU to clarify needs and resolve concerns related to student records functions. This position also assists with other Schedule of Classes functions as necessary and is responsible for ensuring the completion of accurate and complete schedule builds for assigned academic units.

Job Description
  • Provides leadership, supervision, training and coordination of work for three Program Coordinators, two part-time temps and six student workers, particularly those relating to the 25Live classroom assignment system.
  • Routinely works in coordination with the Associate Registrar to make and implement decisions to accomplish divisional goals, while working under the guides of scheduling requirements and university policy.
  • Demonstrates professional behaviors and attitudes that support the university’s mission and goals.
  • Contributes to the development of the ongoing vision, mission and goals of the university.
  • Designs and documents complex business processes, particularly those associated with 25Live.
  • Maintains and updates system definitions, configurations, and settings in 25Live interface.
  • Collaborates with Business Analysts to support 25Live and PeopleSoft.
  • Works closely with Space Management and ITS Classroom Support.
  • Consults with the CollegeNET technical support team to report and resolve 25Live system issues.
  • Serves as a reporting and data expert for 25Live. Creates reports, including custom reports as required. Identifies reporting needs. Supplies and analyzes data. Collaborates with stakeholders to determine reporting needs, as well as delivery intervals.
  • Serves as the 25Live expert for other areas of the University.
  • Provides ongoing support to 25Live users – through training, regular communication, documentation and functional troubleshooting.
  • Takes a lead role in providing technical troubleshooting for the PeopleSoft Schedule of Classes area, 25Live Interface, 25Live Configuration, or other modules as needed, offering technical advice, problem-solving assistance, and answers to questions regarding program goals and policy interpretation.
  • Leads the Academic Scheduling team through preparation processes required to run room assignment Optimizations, including the assignment of data integrity queries and communication with academic units to clean-up inconsistencies, omissions, errors, etc. that will impact the ability of the university to maximize classroom spaces.
  • Determines if classrooms are designated as shared spaces within the 25Live system and updates the shared space documentation.
  • Updates layout capacity, features, characteristics, black-out dates, and all other required data fields in 25Live.
  • Documents all 25Live related changes in Teams for the Classroom Review Team’s review.
  • Evaluates academic unit partitions to ensure optimal room assignments and makes recommendations as necessary.
  • Monitors classroom pre-assignments to ensure information is updated and accurate.
  • Guides the Academic Scheduling team through the Optimizer process, followed by reviews of placements, acceptance or deletion of each room assignments, based on optimization and other factors. Gives direction to complete the room assignment process, including communication with academic units regarding unplaced classes, providing options and placing all classes requiring a room into a classroom that optimizes the use of University resources.
  • Leads the Academic Scheduling team through the various processes and integrity reviews required to ensure classroom assignments are complete and accurate, prior to the start of each term.
  • Collaborates to find solutions for complex room scheduling needs.
  • Implements and documents new processes, such as back-to-back scheduling and final exam scheduling, and CourseDog class scheduling.
  • Works closely with assigned academic units to ensure class builds are accurate and complete. Consults with departments about the aspects of their classes in order to identify needs, provide guidance and implement any necessary changes.
  • Assists Academic Scheduling in integrating applications as appropriate and possible, with other campus applications.
  • Researches and resolves scheduling issues and policy questions. Provides guidance and consistency in policy and procedure decisions within the work unit.
  • Actively interacts with and develops partnerships with administrative offices in order to attain department goals and objectives.
  • Coordinates and participates in end-user testing including update and fix maintenance cycles for PeopleSoft and 25Live.
  • Develops and recommends revisions to Academic Scheduling policies and procedures, particularly those dealing with the maintenance of data processing systems and records.
  • Provides key leadership and technical assistance and training for PeopleSoft processes, 25Live processes, and system navigations. Confers with data processing personnel and various processing departments to design, enhance and resolve errors in computerized record keeping systems and data entry problems.
  • Interprets complex information and processes in order to respond efficiently and accurately to inquiries from Administration, academic units, and the Academic Scheduling staff.
  • Reviews business processes and systems to formulate recommended change for efficiency gain and streamlining.
  • Resolves technical issues or escalates to Business Analysts for additional action.
  • Identifies room or class scheduling processes that require adjustments or new processes that should be considered and works with the Academic Scheduling team to implement changes.
  • Assists with other duties related to Academic Scheduling as assigned.

Minimum Qualifications
  • Bachelor's degree in a field appropriate to the area of assignment (e.g. Information Systems, Business Administration) AND four years administrative/coordinative program experience; OR,
  • Master's degree in field appropriate to area of assignment AND two years administrative/coordinative program experience; OR,
  • Eight years of progressively responsible administrative/ coordinative program experience; OR,
  • Any equivalent combination of experience, training and/or education.

Preferred Qualifications
  • Experience in procedural, management or systems analysis work
  • Experience with scheduling and data integrity reviews
  • Knowledge of college and university curriculum, policies, and procedures.
  • Knowledge of college and university academic advising practices and functions.
  • Familiarity with the functions of the Academic Affairs division, Registrar’s Office and Undergraduate Admissions.
  • Advanced user experience with student information: Oracle/PeopleSoft, Banner, etc.
  • Experience with managing system setup and/or researching and resolving system problems preferred.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting.

In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus and NAU-Fort Defiance as these campuses have on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.

Salary

The budgeted salary amount is $44,123.

This position's pay grade is 61. The salary range for this paygrade can be found on the CLS Grade Schedule.

**The starting salary will be determined by the qualifications of the selected applicant balanced with departmental budget availability, internal salary equity considerations, and available market information.


FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.
