Job Description
POSITION OBJECTIVE

The associate director is a member of the leadership team within the student advancement program, an integrated initiative, which promotes increased retention and graduation rates through enhanced student satisfaction. The associate director fosters a robust and meaningful connection to the Case Western Reserve University community through an integrated approach to academic, career planning, experiential learning, social and extracurricular activities for undergraduate students. Oversee a team of assistant directors in the facilitation of student course registration, successful advisor relationships, identification and introduction of relevant resources, and the development of Case Western Reserve University experience plans by the end of their second semester. The associate director has the authority to manage standard activities, directing individual plans and arrange work according to established policy and procedures. Decisions involve consideration of several variables.

ESSENTIAL FUNCTIONS

1.Lead a team of 5 to 7 assistant directors in the implementation of student success strategies. Ensure compliance with university policies and procedures, technological systems training. Define and assign individual tasks, maintain schedules and standards, conduct performance reviews and administer disciplinary action if necessary. Address concerns and provide guidance on complex decisions related to students’ academic success. (27%)

2.Manage a particular cohort of students (such as underrepresented minorities, first-generation, LGBTQ, and international students) from enrollment commitment through graduation. With particular focus on the first year, link each student with additional academic, exploratory, and experiential resources and facilitate the connection to faculty advisors for major(s) and minor(s). Serve as a resource to guide students in specific decisions regarding course selection and the selection and/or change of majors and minors, ensuring coursework aligns with their academic, intellectual, and career interests, laying the foundation for the student’s academic success. Review academic records, monitor and track the retention and progression toward degree completion for each student within assigned cohort. As appropriate, connect students to relevant support contacts and resources; encourage and recognize students with outstanding success. (24%)

3.Create an inclusive environment that acknowledges the unique needs of first-year students, including neurodiversity, underrepresented minorities, first-generation, lesbian gay bisexual transgender and queer (LGBTQ), and international students through collaboration with colleagues across campus. (10%)

4.Manage the engagement plan for incoming first-year students regarding fall coursework recommendations and future curriculum options and goals. Over the first year, ensure structured follow-up communications protocol is followed by assistant directors related to curricular, co-curricular, and extra-curricular components of customized four-year Case Western Reserve University experience plans. Evaluate and make recommendation for plan improvements. (10%)

5.Engage with college/school faculty advisors to ensure strong assistant director/faculty mentor connections, and current academic departmental requirements. Investigate and disseminate best practices in the area of successful academic planning. (10%)

6.Serve as subject matter expert on all undergraduate academic programs, student support services, experiential learning options, career resources, and mentoring opportunities available at Case Western Reserve University. (8%)

7.Maintain success plan documentation, using a comprehensive and integrated academic/ career/ mentoring record-keeping, communication, and calendaring platform, oversee the documentation of the undergraduate experience and sure relevant updates reach the appropriate faculty advisors and administrators. (6%)

NONESSENTIAL FUNCTIONS

1.Participate in weekly staff meetings, ongoing training, and occasional retreats. (3%)

CONTACTS

Department: Regular contact with colleagues pursing shared goals and collaborating to achieve immediate operating results and strategic priorities.

University: Regular contact with faculty advisors and mentors and colleagues in undergraduate studies, enrollment management, student affairs, Kelvin Smith Library, and international affairs. Occasional contact with college/ school leadership to facilitate or promote joint action.

External: Occasional contact with alumni, parents, and employers to address concerns and/or represent the university.

Student: Continuous contact with students for major student programs and events; student initiatives, concerns, etc. Regular contact with Student Presidents Roundtable and focus groups in advising and assessment capacity and to address concerns.

SUPERVISORY RESPONSIBILITY

Directly supervise 5 to 7 assistant directors.

QUALIFICATIONS

Experience: 5 years of relevant work experience, preferably in higher education.

Education: Master’s degree required.

REQUIRED SKILLS

1.Must be a leader who possesses a strong philosophy in student engagement and is willing to meet aggressive student retention and satisfaction goals.

2.Effective verbal and written communication skills; good interpersonal skills. Strong ability to relate to students when necessary.

3.Ability to juggle multiple tasks, and possess excellent oral and written communication skills.

4.Strong aptitude to work as part of a team.

5.Enthusiasm for higher education and a strong customer service orientation.

6.Creativity and energy highly valued.

7.Proficient with personal computer office applications, e-mail, and internet.

8.Ability to learn software applications specific to admissions and enrollment management, as well as customer service and customer relations management applications.

9.Must be flexible, willing to work evenings and weekend and to travel

10.Ability to meet consistent attendance.

11.Ability to interact with colleagues, supervisors, and customers face to face.

WORKING CONDITIONS

Typical office environment. This position involves responsibility for working with individuals under the 18 years of age.
