Departmental Overview

Event Services at the Student Union provides comprehensive event planning and consultation as well as versatile venue spaces. We will partner with you to arrange the appropriate venue space and plan a successful event within your budget. We can assist you with all of the event planning details, including catering, linens, decor, and audio-visual.

Responsibilities

MEETING & EVENT PLANNING:
  • Consults with clients on all details regarding events and event planning.
  • Demonstrates good judgment in making decisions and managing events.
  • Conducts event planning meetings and makes suggestions for event set up, venue locations, and event services.
  • Creates space diagrams for events.
  • Works with clients to develop event budget and makes recommendations based on client budget.
  • Develops and implements event budgets. 
  • Ensures event details are entered into the Event Management Software in a timely manner.
  • Participates in event planning presentations on campus.
  • Does post-events follow up assessment with Events clients.
  • Involves coordination and event planning for student organizations, campus partners, and community clients.

EVENT LOGISTICS:
  • Plans, organizes, and identifies real and potential event services including logistics and vendor coordination.
  • Coordinates in house logistics including linen orders, student staff, audio visual equipment, event equipment including tables and chairs.
  • Coordinates rental quotes and places rental orders from event vendors including tents, specialty linens, and catering services.
  • Coordinates event payments including collecting deposits and paying outside vendors.
  • In coordination with other Student Union staff, determines and coordinates staffing needs.
  • Contributes to and participates in mission driven Student Union event planning strategies and policies.
  • Works as a member of the Event Services team and participates in broader Student Union team initiatives including attending staff meeting. 

CAMPUS COMPLIANCE:
  • Works with campus fire marshal to obtain space diagram approvals per fire code.
  • Works with multiple campus entities including campus food inspector and police department to obtain event approvals and approved permits as needed.
  • Ensures smooth-running, effective events, including successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen. 
  • Other duties as assigned.

Required Qualifications
  • Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
  • Ability to gain thorough knowledge of the campus, its vision, mission, programs, policies, achievements and infrastructure.
  • Skill in effectively meeting budget and time constraints.
  • Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus; that is, for fundraising events, skills to provide excellent donor stewardship.
  • Highly developed interpersonal communication skills including political acumen and social perceptiveness.
  • Highly developed judgment, decision-making and problem recognition/avoidance/resolution skills, including skills in determining those issues/problems that need to be brought to management's attention.
  • Demonstrated ability to be a successful part of larger unit/team.
  • Outstanding customer service and communication skills.
  • Demonstrated ability to work independently with competing deadlines and tasks.

Education/Training:
  • Bachelor's degree in related area and/or equivalent experience/training.

Preferred Qualifications
  • Meeting planning certificate.

Salary & Benefits

This is an exempt, monthly paid position.  Annual salary is commensurate with experience.
