Postdoc Coordinator🔍School of Medicine, Stanford, California, United States📁Administration📅Feb 18, 2020 Post Date📅85942 Requisition #Stanford University, Department of Medicine, Division of Pulmonary, Allergy & Critical Care Medicine is seeking a Postdoc Coordinator (Administrative Associate 3) to provide administrative or operational support with limited supervision. The Coordinator is responsible for full cycle postdoc and visiting scholar appointments procedures, visas, payroll, benefits, leaves, and will ultimately serve as the liaison for the postdoc and division to the Office of Postdoctoral Affairs, Student Affairs, and Bechtel International Center. Attend regular meetings held by the division and university, regarding all postdoc and/or visiting scholar related activities.


The Division of Pulmonary, Allergy and Critical Care Medicine (PACCM) is comprised of a team of outstanding clinicians, scientists, and scholars dedicated to improving the lives of patients with serious lung disease. Our goal is to provide outstanding clinical and research training to the next generation of leaders in Pulmonary, Allergy and Critical Care Medicine. We are committed to strong clinical investigations including the evaluation of new pharmacologic agents, which offer potentially promising therapeutic benefits, as well as outcome studies which characterize clinical parameters to effect positive changes in patient care.


Duties include:

  • Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
  • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports. Perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
  • Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Oversee and process GFS stipend and salary payments for all current postdoc and visiting scholars if applicable in a timely and accurate manner with the Graduate Financial System. Run BI GFS salary reports on a quarterly basis, conduct a thorough review of PTA assignments, and partner with the division’s grant managers to resolve discrepancies. Discrepancies will require appropriate pay adjustments to be made.

DESIRED QUALIFICATIONS:

  • Strongly prefer candidates with prior Stanford Postdoc Coordinating experience.
  • GFS experience
  • Visa processing experience

EDUCATION & EXPERIENCE (REQUIRED):

  • High school diploma and four years of administrative experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Advanced computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing projects.
  • Excellent organizational skills and attention to detail.
  • Excellent Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize, multi-task, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Ability to routinely and independently exercise sound judgment in making decisions.

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.
