Overview

The Administrative Assistant - Facilities position provides administrative and office support activities for Princeton Plasma Physics Laboratory Facilities Department.

 

The Princeton Plasma Physics Laboratory is a world-class fusion energy research laboratory managed by Princeton University for the U.S. Department of Energy’s Office of Science. PPPL is dedicated to developing the scientific and technological knowledge base for fusion energy. The Laboratory advances the fields of fusion energy and plasma physics research to develop the scientific understanding and key innovations needed to realize fusion as an energy source for the world.

Responsibilities

The Administrative Assistant for Facilities will need to be able to roll up sleeves and dive into the following work for the department: 

  • Maintains the department calendar
  • Prepares correspondence for management and leadership
  • Serves as administrative support for the creation of presentations and departmental documents
  • Schedules, organizes meetings etc. This will include organizating travel, conferences, and activities for all members of the department 
  • Processes departmental expense reports
  • Processes credit card orders up to 3K for the department 
  • Supports management in scheduling interviews for open Facilities positions
  • Maintains department website
  • Orders supplies and office equipment as needed
  • Organize and maintain files as needed
  • May ast as a backup in certain situations to fill departmental needs
  • Other duties related to the position may be assigned 

 

Qualifications

Education and Experience:

  • High School diploma or GED equivalent is required, associate's degree helpful.
  • Must have hands-on executive support related experience
  • Facilities specific support experience preferred 

Knowledge, Skills and Abilities: 

  • Proficient in Google Drive Suite products (including Sheets, Docs, and Slides) and Microsoft Office suite products like (Word, Excel, PowerPoint) and 
  • Excellent interpersonal skills and a high degree of professionalism
  • Excellent organizational and time management skills

  • Excellent written and verbal communications skills

  • Ability to work independently and in a team environment

  • Strong ability to multi-task and maintain flexibility

Physical Requirements: 

  • Must be able to lift 25 lbs.

Working Conditions: 

  • Ability to work extended hours based on schedule needs when deadlines and urgent assignments are due.
