Primary Purpose of Position

The Operations Business Coordinator assists the Divisional Business Officer with HR processes and applications. This position explains essential policies and standardized divisional processes to employees that have to do with HR and other areas of responsibility.

Minimum Education/Experience

Four year degree in a related business function and one year of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.

Essential Job Duties

The Operations Business Coordinator assists the Divisional Business Officer with HR processes and applications. This position explains essential policies and standardized divisional processes to employees that have to do with HR and other areas of responsibility. Responds to routine and non-routine requests and questions. Assist with the everyday operation of UA Divisional Business Operations Office. Areas of responsibility include but are not limited to personnel, hiring processes, ad placement, tracking hiring to completion, divisional on-boarding, assist in building management of 3 buildings. Data management, modification and process analysis and customization, training and purchasing. Manage HR processes, retention schedule of computers, iPads, laptops and surface pro devices and other electronics for the division. Centralized furniture and computer orders for the division. Manage memberships for the division such as AFP and CASE memberships for the campus. Coordinate central business operations for the Business Officer. Grants security access to the buildings and assists with planning Divisional employee appreciation and many other things. Program and project management support for other areas of Operations as needed.

Other Work Responsibilities

- Assist managers with work plan process
- Manages yearly MCD process and is responsible for getting forms entered in the system, evaluating amount able to give and saving documentation on google drive in appropriate file.
- Manages paper and electronic personnel files. Making new files for new employees and new positions.
- Assists hiring managers with hiring processes, setting ads and hiring follow thru including the hiring proposal.
- Assists directors, assistant directors and supervisors with the navigation associated with Ninertalent. Also assist with developing new positions when assigned.
- Review data and make sure appropriate information is entered in NinerTalent system to complete the hiring process and that a competitive search has been completed with backup.
- Manages on-boarding for new employees including permanent and temporary employees, EHRA and SHRA.
- Orientation process for operations
- Ensures computers are set up and re-imaged for new employees
- Ensures phones are set up with voicemail and active for new employee
-order new keys for new employees
- Serves a point of contact for new employees for questions
- Responsible for retention schedule for paper documents and electronic documents
- Responsible for Employee database thru Access database.
- Responsible for Computer, laptop, iPad and other technology replacement & retention schedule.
- Responsible for Computer inventory, phone inventory & other technology inventory thru Access Database.
- Subject matter expert for assisting supervisors and managers with temp wage hiring, student wage hiring, EPAF system, SHRA hiring processes.
Assist division members with questions, job descriptions, job ads and other paperwork that pertains to personnel and the NinerTalent system.

Departmental Preferred Experience, Skills, Training/Education

• Two years of experience using HRMS systems that entails hiring processes, ads, hiring proposals, job descriptions, and work plans.
• Onboarding of new employees.
• Two to three years of Banner Finance, or an equivalent system, experience.
• Two to three years utilized various databases, such as, Excel, Google Docs, Calendaring, meeting set up, Word, VISIO Access.
• Archibus & training for archibus.
• Professional experience with e-procurement systems, including purchase card use.
• Events set up and management
• University work environment experience.
• High level of customer service a must.
• Building operations experience.
