Primary Purpose of the Organizational Unit

The Department of Psychology provides undergraduate and graduate instruction in psychology, advances our understanding of psychology through the research activities of its faculty, and provides clinical services to the community through the General Clinic and the ADHD clinic. The undergraduate program leads to the B.A. degree and has approximately 700 majors; in addition, it provides courses in psychology at all levels for students throughout the university. The graduate program leads to both the M.A. and Ph.D. degrees and has approximately 60 students. Graduate training is provided in four areas, clinical, cognitive, developmental, and social psychology. The 23 department faculty members maintain research programs in all of these areas. Currently, federal grant support of faculty research is in excess of 4.5 million dollars. The Psychology clinics provide research and training opportunities for department faculty and graduate students and also provide psychological assessment and therapy services to the
community. The department has collaborative arrangements for research, training, and service activities with a number of community agencies, including Guilford County Schools, the Guilford County Department of Mental Health, and Moses Cone Health System.

Position Summary

Coordinate and monitor all departmental accounts and budget information on computer software. Assists Department Head and Administrative Assistant with budget projects and projections by providing budget information upon request. Routine duties associated with the management support of the financial and personnel business of the Psychology Dept. Direct departmental liaison for all Grant Principal Investigators for their budget, disposition, status and purchases.

Minimum Qualifications

BACHELOR’S DEGREE IN BUSINESS ADMINISTRATION OR A RELATED DISCIPLINE; OR AN EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Additional Required Certifications, Licensures, and CertificatesPreferred Qualifications

Experience with UNCG business procedures, policies and systems.
Experience with Banner Finance and payroll
Experience with excel spreadsheets.

Coordinating and responsible for all departmental, state, grant, discretionary, gift, trust and personnel fund account management. Recording expenditures and weekly account balance for multiple funds. Primary departmental resource on business procedures and policies. Responsible for processing personnel paperwork for all grant funds. Provides weekly budget summaries to Department and Supervisor on a weekly basis. Assisting manager with coordinating and prioritizing funding requests based on account history. Reconciling daily expenditures and revenues of operating budgets and fixing expenditure problems as the arise elimiating calls from Accounts Payable and the Budget Office requesting corrective measures. Monitoring the spending practices of grants making sure they are staying abreast of avilable funds, avoiding negative balances in the variiuos accounts, using the appropriate account codes and providing guidance to principal investigators on fixing any problems. Communicating regulary with Principal Investigators about their grant budgets and making recommendations for the most efficient use of thebudgets.Maintaining budget records in spreadsheet database. Making journal entries to transfer charges between departmental funds. Correcting and adjusting accounts as needed. Transferring funds between object codes as needed. Verifying account balances on a daily basis. Calculating and processing transactions from various sources. Having responsibility and signature authority for budgetsranging from $5000 to $400,000, includingpurchasing, receiving, check requests for: travel, faculty and student reimbursement, and selecte dvendors, reconciliation, and troubleshooting.
