Job Description

POSITION OBJECTIVE

Working under frequent supervision, the Secretary 3 will provide technical and clerical support to the Continuing Medical Education department.

ESSENTIAL FUNCTIONS

  1. Field incoming calls to the Continuing Medical Education department. 20%
  2. Troubleshoot our learning management system, CloudCME: respond to telephone and email inquiries about issues pertaining to logging in, claiming credits, resetting passwords, error messages related to the Regularly Scheduled Series (RSS) processes and other RSS related tasks. 25%
  3. Approve daily RSS’s by reviewing flyers for missing information and alerting session coordinator of requirements to approve session; compose and communicate with session coordinators in advance of upcoming sessions. 24%
  4. Perform data entry, including uploading and entry of paper disclosure and conflict of interest resolution forms. Maintain outcomes database. Maintain department and staff records. Perform more difficult typing, including statistical or technical communications. 25%
  5. Provide clerical assistance, including filing, photocopying, stuffing badges and preparation of mailings. Initiate and compose routine correspondences. 5%

CONTACTS

Department: Daily contact with departmental administrative staff.

University: Contact with other university department as needed.

External: Little or no contact with vendors to exchange information.

Students: Contact with students to exchange information.

SUPERVISORY RESPONSIBILITY

This position has no direct supervision of staff employees.

QUALIFICATIONS

Experience: 1 to 1½ years of related work experience required.

Education/licensing: High school education required. Bachelor’s degree preferred.

REQUIRED SKILLS

  1. Professional and effective verbal and written communication skills. Strong interpersonal skills. Must demonstrate the ability to work effectively with various individuals within and external to the university.
  2. Fluent in database administration, Microsoft Office, and Microsoft Windows Operating System
  3. Proficient in email, messaging and scheduling in Outlook.
  4. Ability to actively learn, understanding the implications of new information for both current and future problem solving and decision-making.
  5. Attention to detail requiring accuracy, security and comfort with automation.
  6. Able to handle multiple tasks and prioritize them appropriately.
  7. Ability to work with frequent supervision in a team environment. (Persistence and determination regarding follow-up.
  8. Strong organizational skills.

  10. Positive and constructive attitude.
