Administrative Associate 3 - Outcomes Coordinator🔍School of Medicine, Stanford, California, United States📁Administration📅Nov 15, 2019 Post Date📅85436 Requisition #The Department of Surgery, Division of Pediatric Surgery, is seeking an AdministrativeAssociate 3 to serve as our Outcomes Coordinator and provide administrative andoperational support to the Director of Quality and Performance Improvement andthe Division of Pediatric Surgery working under general supervision. TheDivision of Pediatric Surgery is a small, fast-paced, close-knit divisioncomprised of clinical, research and education programs geared towards advancingthe field of pediatric surgery.

The Outcomes Coordinator will independently handle amultitude of responsibilities for the Director. TheOutcomes Coordinator should be highly organized; extremelydetail oriented and an excellent multi-tasker. Additionally, the Outcomes Coordinator should be able to proactivelysolve problems and/or handle issues. Regardless of the task assigned, theOutcomes Coordinator will be expected to demonstrate excellent judgment,professional etiquette, and problem-solving skills. Excellent communication skills are required,as well as the ability to interact with faculty and RNs/NP’s.

Duties include:

  • Act on behalf ofthe supervisor, department manager, or chair in regards to establishingpriorities and identifying and resolving problems that are administrative innature.

  • Oversee and/orperform duties associated with scheduling, organizing, and operating complexconferences, seminars, and events, including arranging with vendors forservices, overseeing the production and distribution of materials,administering logistics, and managing event within budget.

  • Compose and draftdocuments and correspondence for presentations, course handouts, grants,conferences, seminars, and reports; perform substantial editing and fact-checking.Create, maintain, modify, and/or ensure the accuracy of content in various unitdocuments, displays, reports, brochures, social media, and/or websites.

  • Plan and schedulecalendar(s) with limited consultation, resolve calendaring conflicts andarrange travel in compliance with unit, university, and sponsor policies.

  • Oversee and/orprocess a variety of financial transactions/reimbursements

  • Coordinate andmonitor routine maintenance services completion as needed

  • May lead staff orsupervise day-to-day work of student and/or temporary workers, includingscheduling, assigning, and prioritizing workloads, setting appropriatedeadlines, reviewing work for quality and timeliness, and providing performancereview input.

EDUCATION & EXPERIENCE (REQUIRED):

High school diploma andfour years of administrative experience, or combination of education andrelevant experience.

KNOWLEDGE,SKILLS AND ABILITIES (REQUIRED):

  • Advanced computer skills and demonstrated experience with office software (Microsoft PowerPoint and Word) and email applications.

  • Demonstrated success in following through and completing projects.

  • Excellent organizational skills and attention to detail.

  • Strong verbal and written communication skills.

  • Excellent customer service and interpersonal skills.

  • Ability to prioritize, multi-task, and assign work to others.

  • Ability to take initiative and ownership of projects.

  • Ability to routinely and independently exercise sound judgment in making decisions

  • DESIRED QUALIFICATIONS:

    • College degree

    • Prior work experience at StanfordUniversity and/or in higher education strongly preferred

    • Understanding of the organization ofStanford University Medical Center or similar academic medical center preferred

    • Ability to independently compose/draftcorrespondence on behalf of the department leadership

    • Demonstrates theability to work well with Stanford colleagues and clients and with externalorganizations.

    PHYSICALREQUIREMENTS*:

    • Constantlyperform desk-based computer tasks.

    • Frequentlysitting.

    • Occasionallystand/walk, reach/work above shoulders, grasp lightly/fine manipulation, graspforcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pullobjects that weigh up to 10 pounds.

    • Rarelytwist/bend/stoop/squat, kneel/crawl.
