Job Description

The Administrative Associate IV will serve as the assistant to the Dean of the College of Education and the Department Chair of Counseling & Psychology. This position works under general supervision and provides advanced administrative support work.

Responsibilities:

-Communication: Handles highly sensitive and confidential reports and correspondence. Drafts and composes routine correspondence on behalf of the Dean. Assists in the production of documents and proofing of final documents prepared for the Dean's signature or for distribution. Relieves the Dean of routine details and exercises judgment or decision. Alerts the Dean to outstanding issues and staff concerns. Answers and screens Dean's office telephones. Prepares executive summaries and drafts of reports. Attends various academic meetings in order to prepare and distribute minutes of those meetings and monitor status of action items. Participates on committees including faculty and staff search committees. Screens complaints to determine the appropriate action or referral. Serves as a liaison with faculty and staff. Participates in selected events
-Projects: Reports and Document Production; Collects, compiles and prepares materials for the Dean. Organizes and tracks work towards yearly strategic goals and major projects. Conducting library and internet searches. Coordinating special events, speakers, guests, as assigned.
-Office and Records Management: Performing general office duties such as ordering supplies, maintaining graduate faculty records management systems, records retention, conference room reservations, updating websites. Oversees management of the office to ensure appropriate coverage and effectiveness. Filing and retrieving documents, records, and reports. Manages university copiers.
-Organizing and Planning: Plans and coordinates meetings involving various on and off campus groups; may hold a lead role on projects as assigned by the Dean. Assist with travel arrangements for the Dean and other faculty and staff. Oversees the extensive and complex scheduling of the Dean's time, and ensures the Dean is kept on schedule and is appropriately briefed. Manages requests for appointments by prioritizing, researching, and responding to or delegating responses as appropriate. Assists with employment searches conducted by the Dean Tracks, anticipates, and prepares for upcoming deadlines and events that require action by the Dean.
-Financial Functions: Serves as custodian of state property. Reviews travel vouchers and expense reports for accuracy and ensures compliance with all university financial rules and procedures. Prepares monthly budget report. Manages purchasing requirements and approvals for the department. Manage procurement card log and reconciliation. Manages funds for graduate assistants in support of the Dean.
-Other duties or projects as assigned.


Education and Experience:
-High school diploma or equivalent combination of education and experience.
-Four years of related experience.
Knowledge, Skills and Abilities:
-Knowledge of word processing, spreadsheet, and database applications.
-Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Strong interpersonal and organizational skills. Ability to work with sensitive information and maintain confidentiality.

HOURS: M-F 8am - 5pm

SALARY: $12.36
