SPCS is seeking an Enrollment Coordinator to be responsible for making recommendations and resolving first level decisions on issues regarding admission, financial aid, housing, registrar services, using defined policies and practices and professional knowledge. The Enrollment Coordinator will provide advice to participants and parents on a range of issues to guide them in making appropriate choices and decisions.

Please Note: This is a one year, fixed-term position. The position is located at Stanford's new Redwood City Campus. https://redwoodcity.stanford.edu/

Your responsibilities include:
  • Oversee, review and administer participant records by analyzing data, counseling participants and providing recommendations that require interpretation and influence decisions. Make exceptions on issues of eligibility, course enrollment and program requirements. The enrollment coordinator will help to ensure admissions goals are met by advising and assisting participants through registration and payment phases, streamlining their enrollment ahead of deadlines.
  • This position will use or manage software and web-based platforms to collect, manage, and analyze participant data, including CampDoc, Slate, and internally developed tools and systems.
  • Develop recommendations and collaborate with staff, faculty and other offices to resolve programmatic issues within the school and across functional units. The enrollment coordinator will analyze gathered data and make recommendations on participant housing assignments, dietary and medical needs, and financial aid eligibility.
  • Provide advice to participants on a range of issues, including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., to guide them in making appropriate choices and decisions. This position will work closely with the operations team and program teams to provide guidance or draft responses to participant and parent inquiries, and ensure participant needs are met and necessary registration materials received and understood.
  • Apprise participants of research, fellowship and scholarship opportunities. Participate in related participant recruitment and selection. The enrollment coordinator may provide recommendations to the admissions and marketing team on outgoing communications, web presence, and application design to ensure participants are informed and supported. This role may provide recommendations on financial aid awards as part of a larger committee.
  • Provide first line response to identify participants in crisis and refer to appropriate resources, as needed. This includes providing support and basic training to residential and nursing staff on use of electronic health records management systems.
  • Collect and analyze data from multiple sources including participant feedback, surveys, trend reports, and data analytics. Prepare and summarize reports and make recommendations to enhance offerings, such as programs and courses and to influence current processes and policies. The enrollment coordinator will oversee and help to develop student feedback channels to aid in collecting data on the quality of services and programs.
  • Develop, analyze, influence and review, policies, processes and programs by incorporating feedback and trend data learned from first-line interactions with participants. Advise manager and team on policy updates and provide recommendation for implementation of changes.
  • Identify trends, perform needs analysis, and participate in the implementation and testing of new technology. This role will work closely with the operations, finance, and IT teams to identify deficiencies and make recommendations to improve systems and processes associated with participant enrollment and registration. Ensure any improvements or new systems provide detailed reporting to allow for financial reconciliation to be performed.
  • May provide oversight with the administration of financial processes such as financial reimbursements, data entry, reviewing terms and conditions regarding contracts, understanding vendor requirements, and following up and resolving issues. Ensure that all financial transactions are properly documented and linked to the appropriate participant record.
  • May train and supervise other staff, including student and contingent workers. To be successful in this position, you will bring:
    • Bachelor's degree and two years of relevant experience, or combination of education and relevant experience.
    • Strong written and verbal communication skills.
    • Basic computer skills, including experience with Microsoft Office Suite or Google Suite.
    • Basic analysis and problem solving skills.
    • Customer service skills.
    • Relevant computer systems/technology experience.
    • Understanding of financial transactions.
    • Ability to learn and understand compliance with legal, financial, and university policies and external regulations.
    • Ability to frequently sit and perform desk-based computer and other office-related tasks.

  • Advanced computer skills and experience with database administration.
