Position Description:
The administrative assistant provides support to facilitate the administrative and research work of the Executive Vice Chancellor and Provost (EVCP). The incumbent works closely with the Executive Assistant to the EVCP, with primary responsibility for the EVCP's travel arrangements and scheduling the routine meetings with the EVCP's direct reports. The incumbent also is responsible for the smooth administrative operation of the EVCP's research group, consisting of postdoctoral fellows and students both on and off-campus. This position requires the handling of a wide range of administrative matters and the use of discretion to prioritize and execute tasks consistent with the EVCP's goals and standards. This includes making judgments regarding priority. Editing and proofreading scholarly content and other correspondence expected upon request.

EVCP support: Provides general executive support such as anticipating the needs of the EVCP to enable an efficient and productive office environment. Coordinates international and domestic travel arrangements, including itinerary preparations and travel portfolios, and prepares and processes travel reimbursements and expense reports. Together with the Executive Assistant to the EVCP, handles routine meeting scheduling and maintains the EVCP's calendar using collaborative software, with a high degree of collaboration with staff that support the EVCP's administrative work. Manages daily email and related correspondence. This position serves as backup support to the Executive Assistant to the EVCP.

Research group administration: Schedules sub-group and group-at-large member meetings each academic term. Coordinates logistics for meetings, seminars, and other events. Tracks deadlines and requirements for manuscripts, grant proposals and reports, and other projects. Tracks post-award requirements and ensures grants meet requirements for compliance purposes. Prepares research materials and drafts correspondence for submission. Maintains research archives, including a website and a wiki, and updates key documents such the EVCP's dossier. Conducts basic copy-editing and proofreading of draft technical reports and research group member journal articles upon request.
