Job Description
POSITION OBJECTIVE

Working under general supervision, the enrollment operations analyst functions as business/project manager, balancing multiple projects and priorities within and also across systems and customers for Enrollment Management including Slate for Undergraduate Admission, and PowerFAIDS, Net Partner, and OnBase for Financial Aid. Responsible for complete project life cycle, working independently and with emphasis on all customer facing activities. Has a demonstrated ability and commitment to collaboration in order to develop partnerships with a variety of customers across and within schools, departments, and functional areas as well as external vendors. Translates complex business and operational requirements into designs and technical specifications. Working under general supervision, the analyst plans and coordinates multiple interfaces between three major student information systems in Enrollment Management: Slate for Undergraduate Admission, and PowerFAIDS, Net Partner, and OnBase for Financial Aid. This position also executes imports and exports between these systems from various external software services and interfaces with SIS. The analyst will develop and maintain reports from all information systems for Enrollment Management leadership and staff; provide information to Institutional Research and various reporting agencies to respond to surveys and questionnaires; and create ad hoc reports for daily operational needs across Enrollment Management.

ESSENTIAL FUNCTIONS

1.Serve as a key member of the division of Enrollment Management’s technical team. Attend regular meetings with user groups within the division and the university. Responsibilities will include using query functions for exception analysis, recommending and implementing process improvements for PeopleSoft and OnBase imaging systems. Participate in cross-functional Enrollment Management teams to help solve complex business processes or information systems issues involving interfaces with systems used across Enrollment Management. Diagnose software problems and recommend solutions. (12%)

2.Manage all aspects of the prospect and application processing from prospective student stage through enrollment. Responsible for the integrity and security of admissions and financial aid data. Create data-driven, analytical business processes across multiple systems and procedures and implementation of delivery systems that enhance the office’s business processes and support the strategic direction of the university. Prepare detailed specifications and implement interfaces (exports and imports) to keep all Enrollment Management information systems (Slate, PowerFAIDS, Net Partner, and OnBase) and SIS data synchronized. 3.Manage, develop, and test the CRM and SIS systems. Lead projects which vary in complexity which will involve the coordination and collaboration with other departments and IT groups at Case Western Reserve University as well as outside vendors. Design, create, run, and maintain reports, using a variety of query tools, to produce high quality business process and student data reports for all Enrollment Management units. Manage routine maintenance, data management and processes related to the Operation Group's IT systems. Manages uploads of applications data and status changes to PeopleSoft. These systems include but are not limited to, OnBase, the Student Information System (SIS), Slate, Common App, and PowerFAIDS. (9%)

4.Serve as technical lead with configuration, maintenance, and upgrade responsibilities for PeopleSoft, OnBase, and PowerFAIDS. Development of system integrations as new IT systems/databases are used by the Enrollment group. This involves developing all aspects of the Extract, Transform, and Load (ETL) process. (6%)

5.Use Query reporting to manage production schedule exceptions process, including identifying and resolving problems related to system interfaces. Compile and analyze exception data to complete production activities. Use Query skills to assist the department response to community needs with ad hoc reporting (6%)

6.Manage the development of security roles and training and security requests for access to the student information system, imaging system, and reporting tool. Design, create, and maintain ETL (Extract Transform Load) jobs and accompanying documentation. Perform analysis of requests for bug fixes and enhancements including effort estimates. Develop and deliver ETL and data integration models, mappings, jobs, workflows, and plans. Work on BI Projects to develop data integration for new and existing data sources. Evaluate, analyze, and solve critical performance issues using SQL and Database queries. Own, Research, and analyze in-depth technical issues related to source system changes and impact on data integration and ETL. Expertise integrating data from multiple ERP applications. (6%)

7.Analyze system data, processes, and system interactions to identify and evaluate: impacts of maintenance and enhancement changes to on-going production; methods for accessing, using and/or migrating data; alternatives for establishing interfaces with applications utilizing newer hardware, software and communication technologies; and conversion of legacy systems to new technologies; develop specifications for system enhancements and maintenance projects. (6%)

8.Define application data requirements; identify data sources; diagram data flow and data relationships. In consultation with customers, functional leads, and ITS data management and database administration staff, lead, facilitate and/or participate in the logical design of applications databases; develop database specifications; define file/table structures; analyze systems interface requirements, coordinate the integration and migration of data between databases; use query tools to develop and generate reports. Diagnose problems found with software and recommends solutions. (6%)

9.Create and keep current operational procedures related to Slate, PowerFAIDS, SIS and OnBase for Enrollment Management. (6%)

10. Maintain highly confidential information on applicants and students. (6%)

11. May lead and coordinate software customization projects and ensure quality product and timely completion along with satisfaction from the customer. Keep technical skills current to meet continuing business and systems analysis assignments. (6%)

12. Participate in the creation of business analysis standards and guidelines and its integration with software development standards and guidelines. (6%)

13. Troubleshoot, diagnose and resolve complex systems analysis problems; evaluate alternatives and make sound independent decisions within established guidelines. (6%)

14. Convey goals and objectives clearly and in a compelling manner; listen effectively and clarify information as needed. Build relationships and foster ownership of plans and tasks. (6%)

NONESSENTIAL FUNCTIONS

1.Maintain and update the operations manual, detailing CRM and SIS integration processes. Document all process and business practice changes to policy and procedure manual. Assess processes and recommend business practice improvements using exception identification results (1%)

2.Collaborate with enrollment operations, undergraduate admission, financial aid, and ITS staff to diagnose and resolve problems to support enrollment management goals. (1%)

3.Analyze ITS help desk tickets for trends and to assist in determining root causes and need for end user training as a liaison between ITS and EM. (1%)

4.Perform other duties as assigned. (1%)

CONTACTS

Department: Daily contact with all Enrollment Management Team members, including senior leadership for the purpose of running reports, reporting results of reports, updating team members on progress of ongoing projects with colleagues on campus and outside vendors.

University: Regular contact with ITS, contact with many departments, faculty, and staff by representing the division at user group meetings across campus. Serve as the lead for updates to current systems/software across campus and with internal systems. Collaborate with members across the division to diagnose and solve problems.

External: Regular contact with key external operations consultants, service providers, and product vendors. Serve as the technical lead and primary contact with external vendors responsible for system updates, interfaces, and security concerns.

Students: Occasional contact with student office workers, interns, tour guides, and student ambassadors relating to ongoing projects within the division relating to the information systems within enrollment management.

SUPERVISORY RESPONSIBILITY

No direct supervision.

QUALIFICATIONS

Experience: 1 to 3 years of related experience (including technical experience).

Education: Bachelor’s degree required, preferably in Information Systems or Computer Science. Master’s degree preferred.

REQUIRED SKILLS

1.Technical experience preferred with PeopleSoft, Slate, and/or OnBase with data analysis, system integration, ETL design and development.

2.Ability to work under considerable stress as employee will function in all enrollment management areas (enrollment operations, undergraduate admission, first-year experience and family programs, and financial aid) during peak production times.

3.Possess excellent customer service skills to interact positively with internal and external customers. Ability to communicate technology concepts effectively with technically proficient and non-technically proficient individuals

4.Ability to prioritize tasks to meet deadlines to ensure timely admission decisions and financial aid awards. Strong systems/process orientation with demonstrated analytical thinking, organizational skills and problem solving skills.

5.Good understanding of software lifecycle development methodology. Understanding of data flow and data models for some common business systems such as finance, procurement, student admissions, human resources, research administration, etc.

6.Experience working with and configuring Windows OS. Strong technical skills utilizing Windows operating systems in a client/ server environment, PC configuration, SQL databases and networks. Hands on experience with PC/ server hardware components.

7.Ability to meet consistent attendance.

8.Ability to interact with colleagues, supervisors and customers face to face.

WORKING CONDITIONS

Typical office environment. Some travel required. May be required to work outside of normal business hours. The employee will perform repetitive motion using computer mouse and keyboard to type.
