Position Summary

As the Payroll Specialist you are responsible for the processing and timely delivery of payroll across the University. The Payroll Specialist uses an understanding of the University's HR/payroll and time keeping system to accurately pay employees in compliance with federal and state laws and regulations, such as the Internal Revenue Service (IRS) and Fair Labor Standards Act (FLSA) rules and regulations. The Payroll Specialist helps to assure proper tax treatment, accounting, and disposition of with-holdings such as taxes, deductions for benefits, charitable contributions, retirement contributions, other savings, etc. The Payroll Specialist exercises independent judgment and discretion in planning and carrying out the details of work procedures and methods.

Essential Functions

  • Ensures proper payment of wages and salaries by using the HR/ payroll and time keeping system to correctly process salaries and reported hours worked, correctly utilize paid leave and holiday pay, correctly accrue compensatory time, and correctly compute overtime while meeting deadlines.
  • The Payroll Specialist generates and maintains supporting documentation for all payrolls.
  • Assures the correct tax processing of employee fringe benefits and application of appropriate withholding and reporting procedures.
  • Provides expertise related to regulatory issues: non-resident aliens, social security, moving expenses, and other fringe benefits.
  • Coordinates with Human Resources for proper benefit and deduction set-up, verifies and processes unused vacation and sick leave payouts, and terminates all payroll deductions for retiring and terminating employees.
  • Calculates adjustments for a variety of pay rules.
  • Supports the accurate issuance of W2s.
  • Contributes to the overall success of the Shared Services Center by performing all other duties and responsibilities as assigned, acting as a back-up for other positions as needed, maintaining high levels of accuracy, maintaining a professional demeanor and appropriate levels of confidentiality, and providing excellent customer service.

Knowledge, Skills, and Abilities

  • Strong analytical and problem solving skills
  • Excellent written and verbal communication skills
  • Proficiency using payroll software system.
  • Ability to work under pressure and meet tight deadlines on a regular basis
  • Knowledge of federal and state regulations related to employment and/or payroll practices
  • Trustworthiness and complete dependability as you will be entrusted with a large amount of highly sensitive and confidential information
  • Ability to work effectively with a diverse community, as this role directly interacts with all employees
  • Strong attention to detail and time sensitive deadlines
  • Can communicate effectively with a diverse community

Required Qualifications

  • 2-3 years related experience in HR, payroll, or accounting
  • Bachelors degree and/or appropriate combination of education and experience

Preferred Qualifications

  • Experience using Kronos and/or Banner
  • Experience processing bi-weekly payroll in multiple jurisdictions
  • Experience processing payroll for over 3,000 employees
  • American Payroll Association FPC or CPP certifications

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m. Evenings and weekends as required.

Salary Range:
Salary will be determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information.
