Consistent and meaningful stewardship is key to advancing relationships with donors and strengthening support for GO: The Campaign for Lehigh. Good stewardship begins with ensuring that gifts are properly accepted, acknowledged and used for the purpose in which they were given. This foundation is essential to our ability to let donors know that their support powers our impact as a University. The Coordinator reports directly to the Senior Director of Donor Relations and plays a key role in helping our donor relations program grow and produce meaningful stewardship touches for our donors. With a strong foundation in mind, the primary responsibility of this position is assisting with the gift agreement process. This individual will also work collaboratively with other members of the donor relations team to help prepare gift acknowledgement letters, financial and impact reporting, and support other processes, projects or events as needed.

Accountabilities:
  1. Assist with processes and documentation pertaining to gift agreements
    • Draft and review agreements, route for approval, coordinate feedback and revisions, and prepare for signature
    • Distribute fully-executed agreements and ensure that they are recorded and acknowledged in a timely and accurate manner
    • Assist Development and Alumni Relations Services and gift officers with the preparation of payment reminder letters
  2. Support the day-to-day operations of the centralized donor relations program
    • Assist with letters and reports by merging and preparing drafts; routing for review and approval; coordinating feedback and revisions; printing, binding and otherwise preparing mailings
    • Coordinate with vendors to order plaques, photo gifts, print projects, secure event venues or order catering
    • Manage budget, team calendar and supplies
    • Proofread communications, letters, reports, invitations, etc.
  3. Research and prepare data to assist with projects or to resolve questions
    • Manage data needs supporting stewardship projects and activities; maintain information in Argos database by entering contact reports, updating individual stewardship plans and ensuring donor and fund records are current
    • Gather information about donors or beneficiaries from files or databases and summarize findings
    • Prepare mailing, invitation and recognition lists by pulling information from Argos, formatting content and obtaining approval from staff and donors
  4. Coordinate and share information on behalf of the centralized team
    • Maintain master calendar, track project deadlines and update information and resources
    • Distribute materials to Gift Officers to steward donors in their portfolios
    • Share updates on specific stewardship initiatives or breaking news alerts relating to donors or beneficiaries
  5. Answer and resolve questions from staff and donors
    • Monitor and respond to inquiries to central phone number and email
    • Act as initial point-of-contact for staff with questions or requests
Qualifications:
  1. High school diploma or equivalent combination of education and experience
  2. Bachelor’s Degree preferred
  3. Three to five years related work experience
  4. Specific experience with gift agreement protocols and procedures
  5. Familiarity with applicable laws and regulations pertaining to charitable gifts and fundraising standards
  6. Ability to manage multiple projects simultaneously with strong organizational skills and attention to detail
  7. Excellent written and verbal communication skills
  8. Good judgment, decision making, and problem solving skills
  9. Strong computer skills with experience using word processing and spreadsheet software
  10. Successful completion of standard background checks including but not limited to: social security verification, education verification, county and national criminal background checks, PATCH, FBI fingerprinting, Child Abuse Clearance. Based upon the requirements of the position Lehigh may also request credit history reports, motor vehicle checks and professional license/certification verification
