11-Nov-2019 Close All Job SummaryThe Department of Classics and the Department of French & Italian encourage applications for an Graduate Program and Administrative Assistant. This position provides administrative support to both departments and will ensure smooth operations within the units. This position will work collaboratively with faculty, students and staff to support graduate students from application to graduation. The Administrative Assistant is the first point of contact in the department and manages a variety of duties in the front office while having the responsibility to create and modify processes and procedures for efficiency and effectiveness. This is a multi-faceted role requiring flexibility, resourcefulness, and independence. Technology is used for most aspects of the GPA’s duties and will play a vital role in the efficiency and effectiveness of this position.Who We AreThe College of Arts and Sciences at the University of Colorado Boulder is the intellectual core of the university, conducting research, scholarship, creative work and education in more than 60 fields.

The Department of French and Italian provides instruction in the languages, literatures, cinema, and cultures of France, Italy, and other areas where these languages are spoken.What Your Key Responsibilities Will BeAdministrative Support
  • Provide administrative support to the faculty, instructors, and staff.
  • Monitor FCQ reports and processes and act as liaison to FCQ office. Provide class lists and transcripts. Assist students with enrollment and registration issues.
  • Serve as department liaison to Parking Services, CCURE, Access Services, Property and Disposal Services and Facilities Management. Act as building proctor.
Graduate Program Support
  • Assist the Associate Chair of Graduate Studies (ACGS).
  • Process graduate student applications. Advise graduate students of their progress in meeting degree requirements for their graduate studies.
  • Answer email correspondence and questions from both prospective and accepted graduate students.
  • Track student academic progress and provide reports to the ACGS.
Information and Communication Coordinator
  • Create and maintain student files and databases, and prepare reports
  • Act as department Communicator and disseminate information appropriately.
  • Monitor the department email account and use discretion to determine urgency and appropriate response.
Student Assistant Supervisor
  • Analyze and define staffing needs, work plans and priorities for department office operations.
  • Post student employment announcements, interview, hire and train work-study students.
  • Coordinate schedules with student assistants and monitor attendance of student office assistants.
Publications Assistant
  • Design and distribute flyers for visiting lectures and other events.
  • Coordinate, edit and distribute department newsletter.
  • Update and make changes to the department website and oversee the Facebook page.
Events Assistant
  • Reserve rooms for conferences, visiting lectures, and other special events.
  • Coordinate catering for events as well as student functions.
  • Coordinate all aspects of each graduation event including room reservations, catering, invitations, running reports and crafting a graduation program.
What You Should KnowThis full-time position will be made up of two 50% positions in 2 departments. What We Can OfferThe anticipated starting salary for this position is $43,188, commensurate with experience.Benefits

  • Must be a current Colorado resident.
  • Three years of experience in an occupational field related to the work assigned to the position.
    • Appropriate education will substitute for the experience on a year-for-year basis.

  • Excellent communication and interpersonal skills
  • Ability to prioritize workflow within the office
  • Ability to work independently and exercise judgment in determining departmental needs
What We Would Like You To Have
  • Bachelor's Degree.
  • Experience with Microsoft applications.
  • Experience working in higher education.
  • Knowledge of University database systems including CU-SIS, CU Marketplace, and Slate.
