Job Title: Assistant Director, Program Management, Executive Education

Job Description Summary

The position is responsible for the overall logistical arrangements for a portfolio of executive education programs. Additionally, the position will manage faculty and client relationships in collaboration with Directors and Associate Directors during the design and delivery of programs. The Assistant Director is also responsible for the management of needs assessments, observable outcome process and administrative support of all follow-up initiatives for all programs. This position will report directly to the Associate Dean of Executive Education.

Job Description

  • Maintain ownership of scheduling process for large portfolio of programs. Manage faculty relationships relative to program delivery, follow up and new program development.
  • Maintain ownership of client relationships related to all aspects of program delivery, scheduling and special events.
  • Responsible for the implementation and management of needs assessment process, observable outcomes, and follow-up for all programs in portfolio.
  • Master knowledge of allocated program delivery space and anticipate as well as troubleshoot challenges related to a high quality, seamless program delivery experience.
  • Collaborate to ensure that all program materials (notebooks, evaluations, classroom setups, meals, rooms and special events) are accurate and timely. Work collaboratively with Coordinators, Delivery Manager, and Accommodations Manager and Aramark staff to ensure that all client needs are met in order to deliver a seamless, high-quality program that exceeds expectations.
  • Work with the Director of IT and budget office to ensure all technology needs are properly supported.
  • Monitor measurements of quality for all facets of the delivery process for programs (i.e. participant program evaluations and faculty feedback, facility and dining service comments). Monitor sessions to ensure that the customer is satisfied and appropriate content is being delivered.
  • Review all logistical information and work with director of facilities before the weekly delivery meetings to confirm information and identify potential problems.
  • Work closely with corporate sponsors of all programs and serve as primary contact for clients and program faculty.
  • Discuss, respond to and monitor logistical, content and service requests made by clients, including responding to client inquiries.
  • Serve as liaison between clients and faculty; communicate program content to client on behalf of faculty where appropriate.
  • Assist with the training of new program managers as assigned.
  • Provide integration and continuity to the program by attending academic and social events.
  • Implement and manage ongoing client follow-up initiatives after program delivery.
  • Monitor associated costs for the portfolio of programs; organize and compile all financial & budgetary information.
  • Assures accommodations for all Executive Education programs.
  • Work with Budget office to ensure invoicing of program related expenses.
  • Monitor program finances related to all client billing.
  • Work to give appropriate feedback to the faculty and to suggest changes in future programs.
  • Research and keep current on latest trends in business and executive development issues.

Knowledge, Skills and Abilities:

  • Exceptional verbal and written communication, presentation, interpersonal and leadership skills.
  • Ability to impact and influence internal and external clients.
  • Bilingual preferred: English/Spanish; including sophisticated business writing.
  • Ability to work in a fast paced, high growth environment with interruptions and deadlines.
  • Highly detail oriented, organized and goal driven. A self-starter who takes the initiative and can successfully anticipate and prioritize upcoming opportunities, as well as collect and effectively analyze information, resolve complex scenarios and competing priorities.
  • Ability to strategize, direct, manage, implement, and evaluate department operations.
  • Ability to effectively plan, delegate and/or supervise the work of others, lead, motivate, develop, and train others.
  • Proficiency in Microsoft Office applications, CRM database software, and Internet utilization.
  • Maintain the flexibility to travel extensively within the US and Latin America

  • Knowledge of business and management principles.

Education:
  • Bachelor’s degree in relevant field required
  • MBA or advanced degree in a related subject area strongly preferred
Experience:
  • Minimum 4 years of relevant experience
  • Experience in executive education in a university or corporate setting a plus
  • A combination of relevant education and experience may be considered
