The Assistant Director of Admissions CRM and Data is part of the Internal Operations team, which is responsible for admissions data ownership, security, and operations policies and procedures. This position is responsible for the design, development, testing, implementation, maintenance, and administration of admissions processes and data reporting to support enrollment objects and goals. Responsibilities include but are not limited to CRM administration and maintenance throughout the admissions cycle from prospect to enrollment, data extraction and accurate reporting through various methods such as data warehouse, Cognos, SQL, and MS Access, application and portal/web support. This role will coordinate and support undergraduate recruiting efforts in leveraging all aspects of CRM technology to support data driven initiatives.

The Assistant Director is responsible for departmental data management processes, creating and managing data integrity, reporting and standard operating procedures. This position researches, tests, and documents admissions systems functionality. This position supervises the Admissions Data & Operations Analyst and will assist with generation of recurring and ad-hoc reports and data validation prior to dissemination. The Assistant Director will work closely with various campus peers to ensure seamless transition of data and to streamline existing processes.

In collaboration with Admissions Operations leadership, this position will work collaboratively with other university departments to assist with leading the management, administration, and deployment of undergraduate admissions information technology systems.

Duties/Responsibilities

25% – Performs software maintenance, enhancements, and configurations necessary to ensure reliable business workflow in Slate; maintains applicant and staff portals; assists with creation and deployment of communication campaigns within Slate; administers user accounts and security permissions; creates reports, including those involving custom SQL, as needed to support the admission cycle; provides first level support, user documentation, and training to admission staff.

20% – Establishes and enforces data integrity standards while adhering to the University data definitions; supports the configuration and maintenance of admissions data integration across various systems (e.g. Slate, Banner, Enterprise Data Warehouse).

20% – Analyzes business process needs and develops effective systemic solutions to meet those needs; develops functional and technical expertise for large applications to support production systems; identifies inefficiencies and works to improve effectiveness of existing CRM and Banner system configuration using various methods, including but not limited to SQL-based solutions.

10% – Defines workflows to support admissions and recruitment/retention efforts. Analyzes, defines and implements CRM system changes, including data extraction, automation, imports, and error checking processes; develops, tests, implements, maintains and monitors all CRM security and integrity; anticipates, recognizes, and resolves software application and operational issues. Creates and maintains documentation of all system configuration and training materials; manages recruitment and admissions custom reporting through the CRM; enhances the strategic use of CRM and related systems to support college enrollment goals and priorities.

10% – Collaborates on CRM project implementations with university stakeholders; performs extensive validation testing in development environments; migrates final changes to production; works to enhance functionality by identifying new workflows, dashboards, campaigns, application or console form changes.

10% – Supports all aspects of prospective student processes and is primarily responsible for developing, implementing, modifying and managing policies and procedures involving electronic information and systems to improve recruitment efforts across the institution.

5% – Other duties as assigned.

Required Qualifications

• Bachelor’s Degree from a regionally accredited institution
• In-depth knowledge of enterprise resource planning systems (e.g. Ellucian Banner)
• At least one year of experience working in a higher education environment
• At least one year of experience querying and analyzing data through various platforms such as Cognos, MS Access, Oracle SQL Developer, or an Enterprise Data Warehouse

Preferred Qualifications

• Master’s Degree in Computer Science, Management Information Systems, or related discipline from an accredited institution OR other graduate degree with extensive computer science or management information systems experience
• At least 3 years of experience working with a CRM system, preferably Technolutions Slate
• Experience working with a variety of information systems and data files, including large and complex files: analyzing file structure, using and creating file layouts, transforming raw data into finished products.
• Ability to track multiple projects, set priorities, and meet deadlines under pressure with frequently changing priorities
• Demonstrated experience with compliance with established guidelines, policies, and procedures
• Ability to work independently and operate effectively within a team environment
• Experience supervising professional staff
• Effective communication skills with the ability to clearly and effectively convey complex information to individuals or groups of people of varying experience levels
