DESCRIPTION

Under the general supervision of the Administrative Support Team Supervisor for the UC San Diego Library, the incumbent will work in collaboration with other individuals as part of the Administrative Support Team. This position is considered hands-on, and the application of customer service skills is key to success, featuring regular interactions with the campus community and the public at event registration tables, and with staff internally to set-up events. The Administrative Assistant will interact with Program Directors and staff in order to provide events coordination. Assist with on-campus event planning and management, engage with caterers and vendors to arrange tables and chairs, place linens, trash containers, portable heaters, signage, etc., and monitor cleanliness of grounds, surrounding areas and restrooms as necessary, throughout the event. The candidate will be expected to participate in room set-up and tear-down processes; assemble and move tables and chairs, and stack chairs. The ability to be front and center at an event, visible and responsive to all stakeholders, is a requirement.

The position also provides broad administrative, fiscal and specialized assistance across all programs of the UC San Diego Library. The incumbent will monitor departmental supplies and equipment and departmental tools; manage the specific Library budgets and maintain accurate and complete records of all financial activities; reconcile records with FinancialLink reports; monitor balances, analyze trends, project expenditures, and prepare periodic status reports; assist with project management in the Library; provide administrative support; and track project progress and coordinate student payroll.

QUALIFICATIONS
  • Please note- a cover letter is required for a complete application packet.

  • Demonstrated experience organizing, scheduling, and making logistical arrangements for travel, meetings and events of various sizes. Skill and judgment to assess priorities and negotiate schedules and room assignment in order to schedule appointments and meetings.

  • Demonstrated administrative support, event planning and organization of special events experience.

  • Proven experience in a customer service driven service organization. Capable of working with a diverse group of staff, clients and vendors.

  • Excellent interpersonal skills. Demonstrated ability to work as part of a team, to independently and willingly assist in other areas as needed, and to perform non-routine duties.

  • Skill in analyzing information, problems, situations and procedures to define the problem or objective, identify relevant concerns or factors and formulate logical and objective conclusions.

SPECIAL CONDITIONS
  • Must be able to work a flexible schedule, including evenings and early mornings, to meet event needs.
