Job Details
Function as project and traffic coordinator for all Marketing and Communications jobs. This includes print production as well as some multi-media deliverables. Oversight is from job initiation to production through to delivery. This includes internal and external resource scheduling and tracking to ensure jobs are completed on time and on budget.
Project volume has been more than 200 projects per year.
- Intake of projects, meeting with our clients, getting quotes for projects, making sure all information gathered so may be designed and printed.
- Use a project database to track jobs; keep record of printer, quantity, cost for each project
- Research best printer for each job; obtain bids/quotes; choose printer and send projects.
- Proofread and edit
- Each day review work on hand, discuss work flow with the designer, follow up on any missing items, or return of designed projects, or contact printer as to proofs coming and delivery dates being met
- Check that invoices from printers correct; if an issue with an invoice handle with printer to satisfactory resolution
- College catalog: Contact faculty and departments for current information, pull files for design, proofread, get printed and distributed (print version), update year round on the web
- Supervise work study students, who are assigned to various persons in the office
- Send Hometown news releases, on dean’s list, order of gownsmen, and commencement
- Respond to University press inquiries for books and fill orders
- Serve as the HR Liaison by working closely with HR to maintain the division/department’s organizational charts and ensure the classification descriptions are up to date in PeopleAdmin.
- Assures consistently correct content in all publications, including webpages, for which responsible, either delegating this responsibility, or directly updating and deleting content regularly, meeting style and design guidelines established by the University and maintained by Marketing and Communications, and undergoing training as needed
- Choose a printer for a project based on type of piece and budget. If a problem arises with the printing: be it type of paper used, reflow of copy, or any other glitch on the printer end, work out a satisfactory solution so the project may be completed by deadline.
- If a problem arises on an invoice, sort it out and resolve
- Re web/print catalog, keep language and style uniform, gather and verify info.
High school diploma or equivalent required, Bachelor’s degree preferred.
Experience3-5 years of project management and/or traffic experience.
