The Clinical Program Coordinator assists in the development, organization, production, and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Moreover, this employee provides general oversight to daily program activities in support of the University’s mission. The Clinical Program Coordinator may also monitor the financial performance of programs to meet departmental goals and assists with short- and long-range budgetary planning.

CORE JOB FUNCTIONS

  • Evaluates program effectiveness, analyzes results, and recommends appropriate action.
  • Coordinates program activities with other program, department or staff activities, ensuring optimum efficiency.
  • Trains, develops, and empowers staff to effectively perform their jobs.
  • Acts as a main point of contact for project funders, advisors, speakers, and participants, and recruits program participants, members, and volunteers.
  • Develops cooperative relationships with patients and families by projecting a positive image and creating a professional atmosphere.
  • Develops program communications and promotional literature for distribution, including newsletters, brochures, and flyers.
  • Prepares periodic reports, financial statements, and records for management or outside agencies.
  • Maintains patient confidentiality as well as the confidentiality of hospital business information.
  • Provides administrative support to for Clinical Programs Manager and Clinical Program Director overseeing daily operations at two satellite locations.
  • Acts as internal liaison for department administrators, physicians, clinical and support staff, referring physicians, patients, family members, visitors and other callers. Identifies problems, accesses urgency and proposes corrective actions.
  • Point person for scheduling and coordinating VIP appointments, surgical appointments, bump list, etc.
  • Provides back up support for triage desk. Answers telephones, take messages, answers routine questions, and transfer calls to appropriate individuals.
  • Provides cross-coverage for all administrative functions as needed with Clinical Programs Manager. Performing schedule revisions in collaboration with UConnect support for cancellations, route correspondence, handling incoming/outgoing telephone inquiries.
  • Responds to patient inquiries, compliments or complaints promptly and troubleshoot problems for quick resolution ensuring patient satisfaction.
  • Authorized point person to open, close, reduce, add-on appointment slots and sessions as needed.
  • Authorized point person to overbook patient appointments as needed.
  • Oversees the maintenance of established supply levels in unit and supply rooms.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS

  • Bachelor’s degree in relevant field
  • Minimum 2 years of relevant experience

  • Ability to maintain effective interpersonal relationships.
  • Ability to understand and follow instructions.
