Reporting directly to the Director of Faculty Affairs and Executive Support, this position will carry out day-to-day clerical duties for multiple senior leaders. This individual will provide administrative/office management support for the Office of Intramural and Extramural Affairs/Office of Global Affairs and the Dean’s executive suite. This includes travel, calendar scheduling and managing various clerical duties. Project coordination, execution, follow through, and extensive event planning expertise is required. The Executive Assistant must have a proven ability to work collaboratively and professionally with all levels of Penn Dental Medicine, which includes students, staff, visitors, faculty, alumni as well as members of the Board of Overseers, outside clients, vendors and international visitors. The Coordinator must be able to handle confidential information with a high degree of professional discretion.
This position will assist in memorandum of understanding (MOU) preparation and coordination with Penn Global, an MOU partner institution, and will maintain the School’s database of agreements.
This position requires clear communication, flexibility & adaptability when working with various administrative tasks, projects, events, etc. Coordinate office administrative responsibilities by efficiently managing resources, demonstrating consistent service orientation, having clear communication & being adaptable. Coordinate, plan, organize and manage conferences, events, & programs both international & domestic.
This position requires flexibility in working across different time zones for events and supporting various projects and programs across the School that may require work time and preparation time outside of standard business hours to support the needs of the global community and intramural and extramural events.
Qualifications:
High School degree or equivalent experience. Five years of progressively responsible administrative work experience, preferably in a University setting, mandatory. Working knowledge of University schools and divisions, policies, and procedures a plus. Must demonstrate the ability to deal with diverse constituencies, handle highly confidential information, and be highly-skilled in juggling multiple tasks simultaneously in a fast-paced environment. Must also be people-oriented, objective, and communicate well with different personality types; have the ability to think ahead, and demonstrate the capacity to catch and solve problems proactively. Excellent verbal, electronic, and written communication skills; impeccable managerial and interpersonal skills, and the ability to work strategically and collaboratively across departments and divisions essential.
