Position Description:
The Research Concierge Program Manager (RCPM) serves as a central resource for streamlining onboarding activities and processes to enable new researchers/Principal Investigators (PIs) to begin their research as soon as possible upon arrival at UCLA. The RCPM also reviews and evaluates the researcher on-boarding and off-boarding life cycles and makes recommendations for changes to improve administrative and operational procedures and enhance the efficiency and effectiveness of the processes.

Incumbent develops improvement/refinement plans and executes an integrated and structured approach to address researchers' needs and service requests as they begin and end their research activities at UCLA. The RCPM liaises with hiring academic departments to identify needs, collect requirements and specifications, and communicate RCPM services and processes. Liaises with campus partners, including Academic Personnel Office (APO), Environment, Health and Safety (EH&S), Facilities Management (FM), Capital Programs, and Office of the Vice Chancellor for Research (OVCR), to provide information, timelines, and specifications, and to review actions needed to achieve efficient and effective onboarding and off-boarding of researchers/PIs.

In coordination with OVCR and APO, the RCPM communicates and markets the Research Concierge Program services. Participates in inter-disciplinary meetings to record discussions, action items and deadlines. Measures activities and determines the most impactful metrics (e.g. time to communicate needs assessment to campus partners, time to hire, time to commence research, time to complete training, time to complete onboarding of researcher, time to complete offboarding of researcher, time to clean lab for use by new researcher) to measure efficiencies and effectiveness. Tracks metrics to validate improvements and/or identify areas needing improvements. Prepares cost/benefit analyses to assess proposed changes to researcher onboarding and off-boarding processes and activities; to determine priorities for implementation; and to measure effectiveness. Prepares a draft strategic operational guide to articulate purpose of Research Concierge Program and how improvements will be measured to provide a roadmap for achievements; evaluates approved strategic operational guide on an ongoing basis and ensures it is understood, implemented, and followed.
