    PURPOSE


    The Development Associate reports directly to the Vice President of Institutional Advancement and is responsible for all gift processing and acknowledgement as well as the production of detailed development reports. The Development Associate monitors outstanding pledges and manages the pledge reminder system; serves as administrative support for key functions within development and alumni affairs; and manages direct mail campaigns, electronic and hard copy filing of donor records, writing for various purposes, and the recruitment, hiring, training, and supervision of Institutional Advancement student workers and volunteers.

    RESPONSIBILITIES

    Gift Processing and Acknowledgements

    • Process all gifts and pledges to the College within 24-48 hours of receipt, assign correct gift designations, and reconcile entries with the business office's general ledger.
    • Generate personalized gift acknowledgement letters and receipts for donors.
    • Manage the generation of more than 400 gift acknowledgment letters, following established standards for accuracy, personalization, and timeliness.
    • Supervise electronic and hard copy filing of donor records.
    • Generate detailed and accurate development reports when requested.
    • Monitor outstanding pledges, generate monthly pledge reminders, track lapsed donors/missed payments, and follow up as needed.
    • Monitor and process recurring gifts.
    • Generate data queries and lists upon request, including mailing lists for events, direct mail appeals, The WAVE, Lifestyles, and other departments’ needs.
    • Manage direct mail appeals including mailing lists, appeal materials, and assembly if needed.

    • Interact with and provide support to donors via phone or email, including Trustees and leadership volunteers.
    • Supervise data maintenance and updates of the donor database, track event attendance and RSVP’s.
    • Keep current on tax and philanthropic policies and regulations that pertain to charitable giving.
    • Manage office stationery and supplies.
    • Serve as the designated contact for the college's IA phone line and oversee IA mail delivery.
    • Write, proof, and edit print and electronic material, including for Lifestyles magazine (alumni news page, obituaries, alumni board update, donor roll call), and the IA/alumni and special event webpages.
    • Craft e-blasts in MailChimp on behalf of Institutional Advancement.
    • Issue direction to graphic designer for visual/print assets such as invitations, email headers, and brochures.
    • Request social media activity on behalf of IA from the Storyteller/Social Media Guru.
    • Assist with scholarship creation/reporting as needed.
    • Liaison with webmaster and business office as necessary to ensure proper creation of web donation forms.
    • Hire and manage student workers, track student worker spending against budget.
    • Assist with IA's events, including evenings and weekends, as needed.
    • Develop systems and procedures for effectively tracking pipelines of donors and facilitating information maintenance.
    • Import gift and constituent data to CAMS acknowledgment workflow process and match data to gift documentation.
    • Serve as first line of response to gift and report related inquires, and determine and take appropriate action as required.

    Administrative Support

    • Provide administrative support to VP of IA and Advancement Services team. Schedule meetings and maintain calendar.

    • Work with Business Office and Finance to prepare purchase requisitions for purchasing services, office supplies and/or software or equipment.

    • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.

    • Prepare correspondence on behalf of VP.

    • Support the VP of IA in the areas of gift and biographical information management, data acquisition and reporting.

    • Provide advice and guidance to ensure the team’s operations comply with policies and guidelines set forth by IRS and CASE.

    • Supervise work study employee and track student worker spending against budget.

    Gift Acceptance and Administration Support

    • Ensure the implementation of the policies and guidelines issued by IRS and CASE.

    Demographic maintenance

    • As a prospect researcher working closely with frontline fundraisers.

                    7. Continuous Improvement: College employees are expected to give attention to continuous assessment and improvement of the position's assigned set of duties and responsibilities.

                      SKILLS & EXPERIENCE: EDUCATION & TRAINING REQUIREMENTS

                      • Minimum high school education.

                      • Five (5) years of related experience preferably in a higher education fundraising setting or equivalent combination of education and experience.

                      • Experience with writing, gift processing and direct mail production.

                      • Excellent knowledge of and proficiency with Microsoft Office, Excel, Outlook; skilled using relational databases with preference for Three Rivers Systems CAMS.

                      • Excellent organizational skills, strong written and oral communication skills, and strong attention to detail.

                      • Ability to think creatively and write for a variety of purposes.

                      • Ability to think and work independently and manage/prioritize tasks.

                      • Diplomacy and tact and the ability to maintain confidentiality.

                      • Flexibility in dealing with rush periods.

                      • Ability to organize office workflow and coordinate activities.

                      • Ability to appropriately manage confidential and sensitive data.

                      • Ability to work evenings and weekends as needed.

                      PHYSICAL DEMANDS

                      1. Nature of work requires the ability to operate standard business office equipment.
                      2. Requires ability to communicate and exchange information; collect, compile, and prepare work documents; and set up and maintain work files.
                      3. Must be able to lift 35 lbs., retrieving and placing materials on high shelves and on floor-level shelves; standing, walking, carrying, grasping, hearing, seeing, sitting, kneeling, climbing, balancing, stooping, crouching, and reaching.

                      WORKING CONDITIONS

                      1. Work performed in a general office environment.
                      2. Periodic travel may be required.
