General Summary

Reporting to the Associate Director of Program Management, the Program Manager (PM) is responsible for successful program implementation of the faculty-led study abroad programs in their assigned program portfolio. The portfolio typically encompasses 10-15 programs/year. As such, the PM has a detailed understanding of the Study Abroad offerings in their assigned portfolio and makes critical decisions regarding their programs while serving as the primary point of contact for faculty directors, students, and key stakeholders, including outside vendors and partners associated with program development and implementation. The PM is involved with regular program assessment procedures and assists with leading the first level of emergency response within the study abroad office. In addition to management of a portfolio of programs, the PM assists with other Study Abroad-related projects, including faculty training and development, student advising and orientation, and communication/marketing initiatives.This position has both administrative and management responsibilities and plays a key role in ensuring the success of program implementation for both students and faculty.

Responsibilities & Duties

Program Management and Implementation: The primary responsibility of the PM is the overall organization, implementation, and operational success of the faculty-led study abroad programs in their assigned portfolio, as a member of the Program Management team. This position actively participates and shares in the team’s program management responsibilities, including:
  • Serves as the primary point of contact for any faculty and/or staff associated with study abroad programs.
  • Ensures timely and successful creation of itineraries, logistical arrangements, student advising, marketing and communication, application management via Terra Dotta, financial and budgetary planning and management, course registration, program evaluations, etc.
  • Serves as liaison for external constituencies, including international partners, third-party study abroad providers, and vendors associated with each program.
  • Assists with training and development for faculty and/or staff leading study abroad programs, ensuring knowledge of best practices within the field of study abroad, and helping equip them with the necessary tools to successfully manage their program.
  • Assists faculty leading programs to countries with travel warnings or safety concerns with adhering to and maintaining compliance with related university policies and protocol.
  • Ensures compliance with federal, state, and university policies, procedures, and requirements related to Study Abroad by working with faculty leading the programs.
  • Develops, with the Program Management team, protocols and procedures appropriate for study abroad programs to supplement existing university policies and procedures.

Program Development: With the assistance of the the ADPM, Study Abroad Director, and Global Engagement.
  • Provides consultation to colleges, academic units, and faculty in strategizing the direction of faculty-led programs and new program development, based on trends and best practices, with consideration to university goals and practices.
  • Contributes to critical decisions regarding the viability of new study abroad programs and implementation of new program models once programs have received both curricular and operational approval.

Program Assessment:
  • Works closely with all program stakeholders to understand and interpret program goals (e.g. academic goals, intercultural competency goals, operational goals), to identify metrics and implement regular program assessment tools to measure and report overall program success.
  • Synthesizes and analyzes data gathered from students and faculty and makes recommendations and writes reports to improve program implementation and better serve students.

Emergency Response and Crisis Management:
  • Implements procedures to identify, assess, and initiate study abroad crisis responses.
  • Ensures ongoing monitoring for existing and potential crisis situations that may impact study abroad programs: crises will range from individual student crises (e.g. illness or accident) to large-scale political or natural disasters which may have an effect on the operation of the program.
  • Works closely with the Associate Director of Program Management and Director to ensure the Global Engagement Crisis Management Team and relevant leadership are notified and aware of significant events and actively involved in assessing the scope and scale of a crisis and supporting DePaul’s official response.
  • Recommends response and action plans and is responsible for successfully implementing a solution with the support of the Study Abroad Operations and Advising teams and other staff in Global Engagement, as needed.
  • Serves as the primary contact for faculty and the international partner abroad in the time of a crisis.

Performs other duties as assigned.

Education & Experience

  • Bachelor's degree in international education or related field.
    • Equivalent experience and extensive knowledge of study abroad best practices and experience working abroad with international partners and institutions can be subsituted for a Bachelor's degree.
  • 3 - 5 years of experience in educational administration, with international program management responsibilities.
  • 2+ years of experience in an administrative position in university international education and/or study abroad.


Preferred Requirements

  • A working knowledge of the principles of counseling and general student support services in a university setting.
  • Foreign language proficiency and overseas work or living experience is strongly preferred.
  • Experience working with Terra Dotta and PeopleSoft / Oracle Cloud.


Managerial Responsibilities

  • This position may supervise one or more student peer advisors.


Financial Responsibilities

  • Works closely with the Global Engagement Operations Manager and Financial Services to understand the business needs and practices of the university, ensuring smooth business operations for the programs in their assigned portfolio, and helping assess and ensure program viability based on program budget, operations, and enrollments.
  • Responsible for the development of and continued adjustments to program budgets for all programs in assigned portfolio.


Other Skills & Abilities Reqd

  • Proven ability to work successfully with domestic and international faculty and staff is essential.
  • Demonstrated leadership and supervisory abilities in international education.
  • Strong knowledge of study abroad program models and best practices in the field.
  • Familiar with complex concepts, practices, and procedures within study abroad and familiar with latest trends and best practices throughout the field. Ability to rely on previous experience and best judgment to accomplish goals.
  • Proficient in Microsoft Office products.
  • Excellent writing, editing, communication, presentation, and interpersonal skills.
  • Relates and is sensitive to diverse cultural backgrounds.
  • Ability to set and meet deadlines and motivate others to do so.
  • Ability to commit to collaborative, team work style and diversity in the workplace.


Physical Requirements

  • Ability to travel domestically and internationally as needed.
