Trinity Christian College seeks a full-time Administrative Assistant for Advancement. The Administrative Assistant for Advancement has the responsibility of overseeing the administrative functions of the advancement office. This individual will work closely with the VP for Advancement and the office of alumni & family engagement to ensure that event logistics, donor correspondence, and meeting documentation is properly completed. The individual will also work in collaboration with the advancement services team to assist in maintaining the integrity of advancement data regarding academics, employment, affiliations, involvement, relationships, and contact details; as well as providing secondary support in the area of gift processing and receipting.

The essential duties and responsibilities of this position include but are not limited to the following:

  • Assist VP for Advancement as needed, maintain office calendar, process invoices, order office supplies, prepare meeting agendas, record meeting minutes, distribute office mail, and perform other general office duties.
  • Aid in the planning and implementation of events held by the advancement and alumni teams, including room reservations, food service orders, A/V service requests, nametags and seating charts preparation, etc.
  • Research and update constituent data such as addresses, phone numbers, email addresses, employment information, marital status, parent/child relationships, obituaries, etc. in Raiser's Edge, the advancement database.
  • Record event participations, board/committee/team involvement, educational details, and communication responses for a number of constituency groups.
  • Maintain all TrollNation Network membership preferences and involvement categories, assisting alumni & family engagement staff.
  • Provide back-up support in the area of gift entry and receipting.
  • Assist gift officers with mail merges, spreadsheet manipulation, mailing preparation, etc., as needed.
  • Update Trinity Oaks Society membership details and file associated paperwork as requested.
  • Assist in recording new scholarship and endowment paperwork, creating endowment reports annually in coordination with the Gift Administration & Prospect Research Manager.
  • Track new hires and terminations of College faculty and staff.
  • Assists with special data projects as instructed by the Director of Advancement Services, and performs additional administrative duties as required by the Vice President for Advancement.

The successful candidate will have experience in office management and/or a support staff role that lends itself to managing several projects at once. Raiser's Edge experience is a plus with Raiser’s Edge Fundamentals Certification preferred. Intermediate knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) desired.
