Outreach Center Assistant

Department: Career, Technical and Workforce Education

Reports To: Regional Outreach Center Manager for Bonners Ferry and Sandpoint

FLSA Status: Nonexempt

SUMMARY

The purpose of this position is to provide direct support to students, instructors, staff and visitors at an NIC outreach facility. This position provides customer service related to enrollment, testing, computer lab, and classroom use. This individual assists the Regional Manager, orchestrates the front desk workflow, and directs day-to-day activities at the center in the absence of the Regional Manager.

Essential Duties and Responsibilities

This list includes, but is not limited to the following:

  • Assists the Regional Manager and oversees center activities when the coordinator is absent
  • Provides information and referrals regarding NIC services and programs
  • Manages the center’s general email and voice messaging
  • Trains and assigns tasks to part-time staff
  • Develops staff schedules
  • Inventories and orders office and janitorial supplies
  • Supports tutor program by maintaining tutor schedules and tutee files
  • Maintains secure test proctoring files and facilitates exams according to standard protocol
  • Maintains records and generates reports as requested
  • Facilitates student welcome events and other activities as directed
  • Ensures the classrooms and facility are clean and safe and reports problems to the Regional Manager Collects and submits class request data to Regional Manager
  • Maintains and updates center message boards and website
  • Works flexible hours including evenings and occasional Saturdays
  • Provides training and general support for users of MyNIC, Blackboard, and associated student information systems
  • Assists with IVC classroom connections and supports distance instructors
  • Maintains a positive, helpful, constructive attitude and work relationship with supervisor, college staff, students, and the community

REQUIRED MINIMUM QUALIFICATIONS

The following requirements represent the minimum qualifications necessary for an individual to satisfactorily perform each essential duty and be successful in the position. Reasonable accommodations may be made to enable individuals with disabilities to perform the duties.

Education and/or Experience

Associate’s degree plus a minimum of one-year, full-time customer service or office reception lead experience and/or training; or equivalent combination of education and experience. Knowledge of NIC or other community college processes preferred. Bachelor’s degree and experience leading others preferred.

Knowledge, Skills and Abilities

  • Strong customer service skills, including proper telephone etiquette and conflict management
  • Good writing and small group presentation skills
  • Ability to use Microsoft Office applications at a proficient level
  • Basic knowledge of instructional and IVC technology
  • Ability to troubleshoot problems with office equipment
  • Ability to effectively instruct others on IVC equipment and office operations
  • Ability to work independently and to lead others
  • Availability to work flexible hours including evenings and weekends
  • Ability to type and operate standard office equipment including phone and copier

Physical requirements are typical of those working in a general office or classroom setting, but with extensive requirements to stand, move or otherwise engage in physical activity in an indoor setting. Typically involves regular sitting, standing, walking, moving, exposure to office lighting, regular typing, etc. Requires lifting objects up to 10 pounds occasionally and up to 50 pounds rarely with or without assistance. Requires occasional pushing and pulling of tables and chairs, and performing light janitorial duties. A wide variety of standard office equipment is continually used, including phone, copier, printer and computer. Occasional local and regional travel required.

Compensation: $14.06 - $16.17 per hour/year, DOE. Excellent benefits, including retirement.
