The University of Illinois at Urbana-Champaign School of Social Work, in collaboration with The Illinois Department of Children and Family Services, is seeking professionals in Chicagoland area to work with the Early Childhood Court Team Initiative in the full-time capacity of Office Support Associate.

The Early Childhood Court Team Initiative promotes a court-led system of care designed to address early life exposure to trauma and adversity and to support family centered interventions that enhance child well-being. It is part of a national effort to change child welfare practice for this population and to improve the safety, well-being and permanence outcomes of children and their families. The goals of the Early Childhood Court Team include, but are not limited to providing therapeutic interventions, parent education, and coaching that enhances the capacity of the adults that serve this population by developing professional knowledge of infant and toddler development and trauma exposure. In addition, Court Teams are designed to change systems through the leadership of the judicial and child welfare systems, using best practices that enhance well-being and permanency outcomes.

The Office Support Associate provides data entry, support for research initiatives, and administrative support for UIUC programs for the operations of the Early Childhood Court Team as implemented under the provision of the program contract between University of Illinois at Urbana-Champaign School of Social Work and the Illinois Department of Children and Family Services (IDCFS).

Duties and Responsibilities:

  • Support of continuous quality improvement through daily data entry of Early Childhood Court Team (ECCT) cases. Develop reports from data entered. Monitor database activity, document and report any system issues. Update and track cases in database and SACWIS. Regular updates to ECCT staff regarding case information and database modifications.
  • Support of ECCT Case Referrals through ECCT procedures and monitoring. Input client referrals in addition to data reflecting screening and client information. Create and maintain the ECCT referral and tracking data pertaining to clients. Provide monitoring of pending cases in need of ECCT program services. Support the scheduling of clients for Nurturing Parent Program. Provide support to caseworkers, database analysts, trainers and facilitators.
  • Responsible for processing staff weekly travel requests to the Program Director and Deputy Director of IDCFS. Assist key staff in the preparation of vital meetings. Transcribe meeting notes. Maintain and track office equipment inventory.
  • Provide office support to Office Manager as needed. Transmit facsimile, scans and assess postal delivery. Assist in project tasks. Maintain skills in Microsoft Word, Excel and Power Point.
  • Other duties as assigned.

Minimum Education and Work Experience:

  1. High school graduation or equivalent.
  2. Any one or any combination of the following, totaling one (1) year and six (6) months of experience in the categories below:
  • work experience performing office/clerical activities, including use of computer systems
  • college or university course work in any curriculum
    • twelve (12) semester hours = six (6) months
    • twenty-four (24) semester hours = twelve (12) months
    • thirty-six (36) semester hours = eighteen (18) months
  • Preferred:

    Prior experience in database, spreadsheet, word processing, e-mail and desktop publishing applications. The ability to communicate both orally and in writing is a critical skill. Adept at data entry and using Microsoft Word, Excel and Power Point.

    This is a full-time, twelve month Civil Service Office Support Associate position located in Chicago, IL. The position is grant-funded and renewal is contingent upon availability of funds. Salary is competitive and commensurate with qualifications. The proposed start date is as soon as possible after the closing date.
